Requirements

Responsibilities
  • Facilitate the prompt resolution of problems related to pre- and post-patient care arising in daily clinical operations.
  • Perform general administrative and receptionist functions, including answering incoming calls, managing patients efficiently, and acquiring necessary patient care information and records.
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer multiple department telephones by triaging incoming calls, responding to questions, directing calls, and documenting messages in the appropriate software.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate employee.
  • Work cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provide coverage for co-worker responsibilities when assigned or as needed.
  • Develop and promote effective communication methods with physicians, managers, peers, trainees, and staff.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Support workflow at the UM Imaging counters by importing and exporting digital studies and documents to and from PACS or UChart, and process film jacket and CD requests by telephone, fax, or in person.
  • Use UChart-Radiant (RIS) and Picture Archive Communication Systems (PACS) to import or export digital images and report data.
  • Ensure proper distribution of radiology reports to ordering physicians.
  • Maintain accurate and complete clerical systems and records.
  • Work closely with physicians and serve as a department liaison supporting all clinical areas.
  • Oversee the release of digital information and ensure the availability of records to patients, physicians, and clinical staff for studies and procedures through in-person requests, fax, telephone, subpoenas, and legal requests.
  • Manage document services with the records-retention vendor.
  • Assist with department onboarding and staff training.
