Requirements
  • A bachelor's degree and a minimum of three years of related experience, including demonstrated leadership, project management, and/or supervisory experience, or an equivalent combination of education and related experience.
  • Thorough working knowledge of accounting, financial reporting, and financial analysis, preferably including fund accounting.
  • Experience preparing budgets, forecasts, and financial plans.
  • Experience integrating multiple pieces of financial information to identify themes, trends, and issues.
  • Well-developed managerial, decision-making, planning, organizational, problem-resolution, and leadership skills.
  • High-level analytical and quantitative skills with a strong background in finance.
  • Advanced proficiency in Microsoft Excel, financial systems, and database management.
  • Written and oral communication skills, with the ability to adapt communication style for various university audiences.
  • Ability to manage relationships and influence outcomes to ensure effective collaboration and customer service.
  • Strong attention to detail, organizational skills, and ability to handle multiple projects and competing deadlines.
Responsibilities
  • Provide and integrate efficient administrative services for the accountable academic, financial, research, and/or clinical functions.
  • Serve as the unit's point of contact with service providers, including Facilities, Human Resources, Information Technology, Procurement, Student Services, and Faculty Affairs, and monitor service adequacy.
  • Escalate issues or concerns related to administrative and operational services to the LA.
  • Partner with the LA to build financial plans and provide financial information, analysis, and reporting to monitor use of unit resources and performance against budget.
  • Recommend budget adjustments and authorize financial transactions in accordance with policy.
  • Provide financial support to the unit's Dean, Director, or Chair.
  • Identify available current and future financial resources and recommend efficient deployment to support unit objectives.
  • Prepare all-funds budgets by gathering historical information, conducting analysis, and performing quality control.
  • Help the unit research and analyze funding challenges and opportunities and present options to the LA.
  • Implement and maintain internal controls to ensure appropriate resource use, accurate financial information, compliance with contractual obligations, policies, procedures, and regulatory requirements.
  • Take corrective action to protect Yale's assets, resources, information, and reputation.
  • Ensure faculty and staff understand applicable regulations, policies, procedures, and Yale requirements.
  • Connect the unit and University through communication, priority alignment, initiative implementation, and engagement in University administrative priorities.
  • Represent unit needs, challenges, and opportunities at the LA and/or University level and create opportunities to enhance the unit's image and value.
  • Share knowledge and best practices with others.
  • Work with Human Resources partners on selection, performance management, career development, and employee relations processes.
  • Assess current unit non-faculty personnel and future talent needs with the LA.
  • Recommend movement of administrative talent and development of Business Operations staff.
  • Cultivate diversity of backgrounds and perspectives in the unit.
  • Partner with the LA and, when appropriate, the Dean, Director, or Chair, to shape administrative and operational priorities and support strategic planning.
  • Translate unit strategy into actions.
  • Recommend resources needed to achieve short- and long-term goals and identify factors affecting the unit's ability to meet its mission and goals.
  • Assess financial and non-financial resources, including funding, space, technology, staff capabilities, and capacity.
  • Raise potential issues, ideas, and solutions to the LA.
Desired Qualifications
  • An MBA or master's degree in Accounting, Finance, Business Administration, or a related field.
  • Experience with university financial and administrative systems, such as Workday, and knowledge of relevant processes and policies.
  • Experience in higher education administration and interaction with faculty, staff, and other departments.
  • Experience with sponsored-award financial management and grant writing.
  • Strong proficiency in database reporting and introducing new financial tools and operating procedures.
