Requirements
  • A high school diploma and 2 years of relevant experience, or an equivalent combination of education and experience, are required.
  • Medical terminology experience is preferred.
  • Experience with surgical or appointment scheduling software, such as Flowcast, is preferred.
  • Experience with electronic medical records is preferred.
  • Demonstrated customer relations skills are required.
Responsibilities
  • Perform complex secretarial and administrative duties in a fast-paced environment supporting clinical, educational, and academic programs.
  • Prepare clinics, manage providers’ time and calendars, optimize provider-patient schedules, coordinate patient care, and provide information and data support.
  • Serve as the primary contact for providers; manage calendars, prioritize appointments and meetings, optimize clinical schedules, identify missing orders, gather information for referrals and prior authorizations, coordinate follow-up actions, prepare correspondence, manage documentation, arrange travel and conference accommodations, facilitate invited lectures and speaking engagements, and research hospital medical records.
  • Determine the order of daily surgeries and ambulatory procedures based on patient medical conditions and severity; negotiate surgical and procedure schedules with operating room and ambulatory surgical center staff; authorize overbooking, schedule changes, rescheduling, and required equipment, devices, and medication orders.
  • Use contingency strategies to ensure surgical and procedure details, materials, and locations are ready as scheduled, and ensure appropriate patient education and pre-operative and post-operative follow-up details.
  • Assemble information from the electronic medical record for disability paperwork, assess and prioritize patient calls, obtain provider responses, follow up with patients, and serve as the main point of contact for patients before and after surgery.
