Requirements

Responsibilities
  • Oversee the Center's management and administrative support functions and work with leadership to maintain an operational organizational structure.
  • Develop short- and long-term plans for financial forecasting, budgeting, human resources, facilities, research, and grant funding.
  • Develop and expand programs for scientific research, preventive medicine, medical and vocational rehabilitation, and community health and welfare.
  • Identify obstacles that impede the Center's progress and develop administrative solutions to overcome them.
  • Assist in developing institutional policy and procedure changes and familiarize faculty, staff, and constituents with them.
  • Direct communications, media relations, and public information programs supporting the Center's mission.
  • Coordinate medical communications to maintain accuracy and consistency.
  • Develop and maintain media contacts and scientific media relationships in local, regional, national, and international markets.
  • Generate evaluative data on special and target programs and develop administrative solutions for seamless operation.
  • Establish and assess internal controls, ensure compliance with University policies and procedures, and train employees on controls and policies.
  • Foster collaboration across departments and with national and international Osher Network partners.
  • Collaborate with clinical departments to expand integrative services and referrals.
  • Provide oversight of the Center's budget, staffing, and operations in collaboration with the Medical Director.
  • Ensure compliance with institutional, state, and federal policies.
  • Serve as the primary contact for VIP appointment requests and escalations.
  • Supervise direct reports, including CBOR, Senior Clinic Assistant, and Medical Assistant staff.
  • Manage clinic operations, administrative functions, and integrative medicine service delivery, including patient intake, specialty testing workflows, supplement management programs, and patient-paid services.
  • Ensure efficient patient flow and clinic productivity.
  • Monitor operational performance metrics and key performance indicators.
  • Identify opportunities to improve workflows, patient access, operational efficiency, and the patient experience.
  • Develop and manage the annual operating budget in conjunction with the Senior Administrative Officer.
  • Develop and implement strategic plans for the growth and expansion of integrative health services.
  • Evaluate new integrative medicine offerings based on patient demand, market trends, and organizational priorities.
  • Lead implementation of new clinical programs, services, and care models.
  • Establish operational workflows and infrastructure for new service lines and clinic locations.
  • Monitor revenues and expenses and analyze financial reports and productivity metrics.
  • Build and maintain relationships with internal and external integrative health practitioners.
  • Assist with business development initiatives for the Osher Center.
  • Develop strategic goals for the Osher Center.
  • Support growth of clinical services, including acupuncture and massage therapy.
  • Oversee operational workflows for integrative medicine patient intake assessments, including completion, collection, and review of required questionnaires and health history forms.
  • Develop and maintain processes for specialty laboratory testing, including patient coordination, kit distribution logistics, vendor relationships, result routing, and follow-up workflows.
  • Oversee integrative medicine supplement programs, including approved vendor coordination and provider-recommended supplement protocols.
  • Collaborate with clinical, finance, compliance, and revenue cycle teams on processes for specialty laboratory testing, wellness programs, and patient-paid services not covered by insurance.
  • Serve as the administrative lead for external integrative medicine vendors, specialty laboratories, wellness service providers, and strategic program partnerships.
  • Implement organizational initiatives and monitor progress toward departmental objectives.
  • Hire and onboard administrative and ancillary staff.
  • Conduct annual TALK performance evaluations for direct reports.
  • Manage employee performance issues and promote employee engagement and teamwork.
  • Collaborate with physicians, nurses, and medical assistants.
  • Support implementation of new clinical programs.
  • Monitor patient satisfaction and quality metrics, address patient complaints, and provide service recovery.
  • Improve patient satisfaction scores.
  • Coordinate integrative medicine wellness programs, community education seminars, community partnerships, marketing and outreach initiatives, patient engagement programs, special events, and fundraising activities.
  • Partner with Development and Foundation teams to support donor engagement, stewardship, and fundraising initiatives.
  • Identify philanthropic opportunities supporting strategic growth and program development.
  • Manage operational aspects of funded initiatives and donor-supported programs.
