Requirements
  • A high school diploma or equivalent is required.
  • Two years of additional training or related experience are required, or one year of secretarial training may substitute for experience.
  • Ability to type at least 35 words per minute is required.
  • Understanding of Microsoft Office products, Excel, and other systems is required.
  • Ability to lift, push, or pull 10–15 pounds is required.
  • Ability to sit for long periods is required.
Responsibilities
  • Perform a wide range of administrative duties and coordinate complex office procedures in support of departments and leadership.
  • Assist in coordinating department correspondence to facilitate ongoing communications and efficient departmental operations.
  • Reconcile monthly budgets with analysis reports and responsibility statements, update cost-center budget tallies, send invoices and expense forms to Accounts Payable, complete purchase orders and requisitions, secure capital-budget quotes, and complete credit-card statements for Accounting.
  • Update policies and procedures annually and maintain departmental information for each area.
  • Provide employees with support for forms and information updates.
  • Screen and refer incoming phone calls and department visitors.
  • Prepare, maintain, and process office-supply inventory.
  • Maintain conference-room schedules; schedule staff and committee meetings and conference calls; coordinate Webex needs; notify participants; prepare agendas and minutes as needed; and maintain appointment calendars.
  • Function as the department's payroll representative and coordinate payroll and leave reports for accurate processing.
  • Schedule travel arrangements.
