Requirements
  • A high school diploma or equivalent and two years of call center experience are required, or an equivalent combination of education and experience.
  • Demonstrated job-related knowledge, proficiency, and performance are required.
Responsibilities
  • Provides communication support services, including general clerical, general information, way-finding, technical support, provider or service referral, patient registration, and scheduling services to patients on behalf of physicians and medical providers.
  • Collects, assesses, submits, processes, and updates sensitive and confidential information.
  • Resolves patient access issues within established limits and works with confidential information from various business systems in accordance with multiple workflow protocols.
  • Contributes to the execution of new call center protocols and procedures.
  • Provides guidance on complex calls and issues and acts as a subject-matter expert for team members.
  • Monitors and audits customer interactions for quality and accuracy.
  • Performs the duties of a Call Center Representative while demonstrating advanced competencies, handles complex calls, and precepts new employees as needed.
  • Participates in, researches, and contributes to the execution of new protocols and procedures; assists with questions, reviews department trackers for accuracy, and performs quality audits on customer interactions.
  • Answers and provides guidance on complex patient inquiries using expert knowledge while adhering to protocols for University Medical Center departments and affiliate organizations.
  • Determines when situations warrant contacting administrators, on-call physicians, Security, or Public Relations.
  • Researches, resolves, and documents non-routine paging issues that impact or delay patient care; performs disaster protocols as required; and escalates appropriately.
  • Balances inbound and outbound activity with clerical and administrative activities, including appointment reminders, wait and recall lists, and communications regarding event cancellations, changes, and updates.
  • Monitors appointment schedules, systems, and resources and provides feedback and recommendations to improve efficiency and reduce cost and waste.
  • Alerts leads and supervisors to issues affecting contact center performance to maintain service quality and quantity.
  • Responds to inquiries and provides information for internal and external customers and stakeholders based on University of Rochester branding standards and entity protocols.
  • Keeps abreast of regulations and compliance requirements and applies best practices related to scheduling, initial registration, and billing.
  • Attends and contributes to meetings and training sessions to follow communication protocols, organizational goals, system updates, and documentation requirements.
  • Performs other duties as assigned.
