Responsibilities
  • Calendar Management: Maintain leaders’ calendars, including scheduling meetings, appointments, speaking engagements, and travel arrangements. Exercise discretion in committing time and evaluating needs
  • Meeting Leadership: Create agenda, distribute meeting prep materials, support creation of slide decks, and publish notes/action items
  • Communication: Write, edit, and distribute email, correspondence memos, letters, and forms
  • Coordinate the creation of and on-time submission of regularly scheduled reports
  • Travel Management: Book and manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals, ensuring adherence to company travel policy
  • Expense Management: Prepare, reconcile, and submit expense reports for leaders; review submitted reports for accuracy and pre-approval
  • Plan, coordinate, and execute in-person and virtual activities that build team connection and strengthen workplace culture, including: Team building events and social gatherings; Recognition celebrations and milestone acknowledgments; Seasonal events and holiday celebrations
  • Presentation Support: Lead in the development of on-brand, visually appealing presentation graphics and presentation slides
  • Email Management: inbox organization, ensuring proper filing, prioritization, and prompt and timely responses
  • Priority Management: Keep leaders advised of time-sensitive and priority issues, ensuring appropriate follow-up
  • Special Projects: Complete a variety of special projects including supporting staff recognition and morale; creating presentations, financial spreadsheets and special reports
  • Confidentiality: Maintain confidentiality and high degree of ethical standards at all times
  • Flexible Support: Perform additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed
