Requirements
  • A high school diploma or GED is required.
  • At least one year of accounting and office management experience is required in construction, engineering, architectural, or a related field.
  • Proficiency in Windows and Microsoft Office 365, including Excel, Word, Outlook, PowerPoint, Procore, and Teams, plus a general understanding of computer networks, is required.
  • Accurate and proficient typing at a minimum of 45 words per minute is required.
  • Ability to maintain a cooperative attitude in high-pressure situations is required.
  • Strong time-management, multitasking, prioritization, written communication, oral communication, and interpersonal relationship skills are required.
  • Ability to work in a large professional setting with patience and professionalism is required.
  • Ability to collaborate with personnel across departments and levels of leadership is required.
  • Ability to perform the stated physical and mental requirements, including standing, walking, sitting, stair climbing, computer use, visual and auditory tasks, speaking, and lifting up to 40 pounds, is required.
  • Strong organizational and computer-use skills and the ability to read, write, and speak English, interpret construction-related documentation, and communicate with coworkers are required.
Responsibilities
  • Manage the ordering and stocking of office, kitchen, event, and personal protective equipment supplies.
  • Maintain and reserve meeting-room calendars, support planning needs, and manage project-related email distribution lists.
  • Greet and sign in visitors and ensure required legal documentation is completed and filed for onsite access.
  • Assist the Field Office Manager in coordinating and overseeing service vendors, including janitorial staff, couriers, and coffee and water machine providers.
  • Assist the Field Office Manager in planning and organizing in-office and onsite events.
  • Support onboarding for new hires, internal transfers, and consultants.
  • Collect and file employee timesheets in a timely and organized manner.
  • Provide general administrative support and assist office staff with requests and administrative tasks.
  • Track drug testing and safety-orientation paperwork.
  • Develop and maintain files, forms, purchase orders, subcontract files, meeting minutes, and miscellaneous forms.
  • Maintain office supplies needed for the job.
  • Organize and lead the site security and badging administrative process.
  • Organize and lead project daily diaries, meeting minutes, and other assignments.
  • Copy, file, and mail or distribute job-site correspondence.
