Requirements
  • A high school diploma or equivalent and Registered Dental Assistant certification.
  • Current professional standards and credentials, including licensing and cardiopulmonary resuscitation certification, necessary for dental coverage credentialing under the Federal Tort Claims Act.
  • Cardiopulmonary resuscitation certification.
  • Strong clerical skills, including keyboarding and basic mathematics.
  • Basic computer and calculator skills.
  • Ability to conduct client interviews with strong attention to detail.
Responsibilities
  • Provide care coordination services for dental clients in the assigned group.
  • Assess clients' care management needs and address potential barriers to timely diagnosis and treatment.
  • Maintain a clinical tracking system for appropriate follow-up, reporting, and billing under supervisor direction.
  • Look up accounts in the Enterprise Practice Management and Electronic Health Record systems using names, aliases, family members, Social Security numbers, and account numbers.
  • Answer telephones while identifying the caller's name and the clinic and department, and provide customer service.
  • Follow up on provider or contract-staff referrals and no-shows, and obtain a second referral when necessary.
  • Respond to contractor requests for referrals or medical records supporting patients' continuum of care.
  • Schedule clients for clinical and specialty services.
  • Document client activities in the Electronic Health Record and C3 database.
  • Update and maintain patient demographics in the Enterprise Practice Management, Electronic Health Record, and C3 databases.
  • Provide support at clinic drives as needed.
  • Flag charts for returned mail and store returned mail items.
  • Maintain faxed referrals and home health items, and enter newly received paper referrals and reports into the Electronic Health Record.
  • Assist clinical teams with patient assessment by receiving reports or reviewing charts for abnormal laboratory findings and notifying clinicians in emergencies.
  • Complete Patient Health Assessment forms for providers before upcoming visits.
  • Monitor and track patient appointments to ensure requested needs are addressed.
  • Make copies and packets of materials needed by providers or clinical staff.
  • Assist with requested audits and reports.
  • Ensure clients receive assistance with requested referrals or home health items.
  • Complete daily tasks assigned by the Vice President or Chief Medical Officer.
  • Complete and run rescreen reports to return clients to service.
  • Document and update the protected health information log in the Electronic Health Record when referrals are sent or processed.
  • Attend weekly department meetings.
  • Meet department metrics and maintain excellent attendance and punctuality.
Desired Qualifications
  • One year of dental assisting experience in a dental health care setting.
  • Bilingual English and Spanish proficiency.
