Requirements
  • A college or university degree in a related field.
  • Knowledge and skills developed through 2–5 years of work experience in a related job discipline.
  • Ability to interpret hospital policies and national requirements for accreditation.
  • Ability to exercise initiative and independent judgment and support team building.
  • Ability to coordinate communication and follow-through across multiple departments.
  • Ability to manage accreditation, operational, financial, recruiting, workflow, faculty, trainee, and institutional-affiliation activities.
Responsibilities
  • Meet regularly with the Program Director and provide guidance regarding program building and significant program issues.
  • Interpret Accreditation Council for Graduate Medical Education, national, and state accrediting policies to support compliance.
  • Administer Clinical Competency Committee, Program Evaluation Committee, Residency Selection Committee, program administration, and faculty meetings by providing agendas and minutes.
  • Provide administrative supervision and support to residents.
  • Act as a liaison between residents and administration and ensure compliance with Accreditation Council for Graduate Medical Education requirements.
  • Interact regularly with both department administrations and Graduate Medical Education.
  • Initiate and maintain Program Letters of Agreement and required documents for outside rotations.
  • Coordinate the recruitment process, information from the Electronic Residency Application Service, and interview-day events.
  • Perform Match responsibilities and correspond with applicants, candidates, and newly matched interns.
  • Coordinate orientation for new residents with the Graduate Medical Education office.
  • Manage national database systems, including entry and updating of resident information.
  • Manage resident tracking, evaluations, procedure logs, duty hours, and current resident files.
  • Access digital records of past residents for ongoing requests and correspondence.
  • Verify trainee certification for temporary licenses and track and process initial visa paperwork.
  • Attend mandatory residency coordinator Accreditation Council for Graduate Medical Education meetings.
  • Distribute monthly resident schedules to hospital staff when necessary.
  • Receive, sort, and respond to incoming program correspondence.
  • Facilitate and oversee petty-cash payments under $100 and major purchases over $100.
  • Assist with Accreditation Council for Graduate Medical Education self-study, site visits, and Clinical Learning Environment Review visits.
  • Manage MedHub activities for program and resident compliance, including rotation scheduling, duty hours, time off, and evaluations.
  • Plan annual department events, graduation, outings, and dinners.
  • Inform residents of policy and procedure changes with assistance from Graduate Medical Education.
  • Update annual residency brochures and residency websites.
  • Participate in day-to-day operations of accredited and non-accredited residency and fellowship training programs and ensure compliance with organizations such as the Accreditation Council for Graduate Medical Education and Residency Review Committees.
  • Coordinate and interpret training-program requirements, including accreditation, duty schedules, evaluation processes, resident and fellowship recruitment, the Match process, orientation, and employee relations.
  • Report on and ensure compliance with procedures regarding licensing, moonlighting, annual contracts, and initial and re-credentialing of trainees.
  • Perform other related work as needed.
Desired Qualifications
  • A bachelor's degree.
  • Previous experience within an academic medical center environment.
  • Previous experience in graduate medical education.
  • Proficiency with Microsoft Office applications, particularly Excel and Outlook.
  • Proficiency with MedHub.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to handle public contacts with courtesy, clarity, and diplomacy.
  • Ability to handle sensitive and confidential situations and information with discretion.
  • Excellent problem-solving skills.
  • Ability to follow an issue through to resolution.
  • Skill in working independently and as a team member.
  • Proficiency with word-processing applications, spreadsheets, and databases.
  • High attention to detail and ability to perform multiple tasks, with strong organizational skills.
