Requirements
  • 3–5 years of experience in program management, marketing operations, or traffic/production coordination, ideally within an in-house marketing team or agency environment.
  • Demonstrated experience building or improving intake and workflow systems in a fast-moving, matrixed organization.
  • Proficiency with Asana or a comparable project management platform, including configuring projects, templates, and dashboards to support team-wide visibility.
  • Strong organizational skills and a systems-oriented mindset for bringing structure to ambiguous, high-velocity environments.
  • Excellent written and verbal communication skills, with the ability to synthesize complex workstreams into clear, executive-ready status updates.
  • Experience facilitating cross-functional coordination across multiple teams and stakeholders simultaneously.
  • Ability to manage competing priorities, ask clarifying questions, and push back constructively when scope or timelines are unclear.
  • Comfort operating in an environment undergoing process and tooling transformation as a change enabler.
Responsibilities
  • Own and operate the marketing and communications team's intake process by creating a single point of entry for project requests across corporate marketing, client marketing, brand, and content, ensuring each request is scoped, prioritized, and routed before work begins.
  • Reinforce the broader Growth team's operating rhythms and reporting structures by adapting shared cadences such as weekly prioritization reviews, sprint-style planning, and status syncs to provide visibility into active work, dependencies, and capacity.
  • Develop and manage integrated project plans, timelines, and delivery schedules in Asana, keeping workstreams current and surfacing blockers before they cause delays.
  • Produce concise status reports for marketing leadership that provide structured, repeatable visibility into progress and priorities.
  • Facilitate coordination between Corporate Communications, Client Marketing, Creative, and Content so cross-functional dependencies are tracked and hand-offs are clean.
  • Identify risks, resource conflicts, and scope creep, and escalate them with recommended resolutions.
  • Support program-level prioritization by maintaining a shared view of the team's portfolio, flagging capacity constraints, and helping leadership make trade-off decisions.
  • Develop lightweight, scalable standard operating procedures and workflow documentation.
  • Partner with senior marketers on campaign and initiative scoping to align timelines, resources, and deliverables before execution.
  • Drive adoption of Asana and shared project management practices across the marketing and communications team, providing guidance and accountability for consistent use.
  • Advance technology transformation initiatives for the marketing and communications team by translating FY27 plan milestones into actionable execution plans with Growth and Tech counterparts.
  • Partner with marketing and communications leadership to foster team culture, engagement, continuous learning, and meaningful connection across employees and sub-teams.
Desired Qualifications
  • Experience supporting B2B or enterprise marketing teams, including exposure to demand generation, client marketing, or content marketing workflows.
  • Familiarity with healthcare, technology, or highly regulated industries.
  • PMP, PMI-ACP, or equivalent project management certification.
