Requirements
  • At least 5 years of bookkeeping or personal accounting experience, ideally supporting high-net-worth individuals or family offices.
  • Prior experience as an executive assistant, personal assistant, or in a similar support role for a principal or high-net-worth individual.
  • Demonstrated discretion and sound judgment in handling sensitive personal and financial information.
  • Strong organizational skills and time management skills, with the ability to prioritize tasks to meet deadlines.
  • Knowledge of QuickBooks, Excel, Word, Outlook, and Salesforce.
  • Familiarity with personal insurance policies and ability to liaise with brokers on coverage questions.
  • Strong written and verbal communication skills.
  • Poise and professionalism when managing time-sensitive requests.
  • Ability to take ownership of work in an entrepreneurial team environment.
  • Willingness to support Personal Accounting and Wealth Management teams in various tasks and projects.
  • Ability to work collaboratively in a team-based environment and adapt to a fast-paced, changing environment.
  • Adherence to compliance policies and procedures.
  • Ability to sit for prolonged periods while working at a desk and computer, and lift up to 15 pounds at times.
  • Must be authorized to work for any employer in the United States.
Responsibilities
  • Organize and manage a daily cycle of accounts payable invoices using QuickBooks software.
  • Review vendor statements, work with vendors to keep invoices current, and resolve billing issues.
  • Work with the payroll company to ensure payroll is processed correctly and reports are filed properly.
  • Review and reconcile bank accounts monthly.
  • Own the annual 1099 process and filing, including determining which vendors should receive 1099s.
  • Prepare accounting reports.
  • Serve as the point person for questions about bill payment, client requests, and QuickBooks.
  • Communicate day to day with clients, household staff, and outside advisors, including attorneys, certified public accountants, and insurance brokers, by telephone and email.
  • Serve as Chief of Staff for an ultra-high-net-worth client by coordinating priorities and daily needs.
  • Liaise with the client's insurance broker and assist the team with insurance reviews.
  • Coordinate calendars, travel, and scheduling as needed.
  • Draft correspondence and manage confidential personal matters on the client's behalf.
  • Coordinate with household staff and outside vendors on the client's behalf.
  • Maintain organized files and manage time across various clients.
  • Provide administrative team support, including mailing, scanning, and electronic document management.
  • Interact with custodians and process paperwork for account openings, funding, electronic check deposits, and money movements, primarily with Fidelity.
  • Handle cash transfers, wires, data maintenance, reporting, and trading as needed.
  • Develop knowledge of investment accounts, products, and transaction forms; learn to trade client accounts, including buying and selling securities.
  • Assist with ongoing client data management, including tax, investment, and other relevant information.
  • Prepare client-specific reports, including tax documents and quarterly investment reports.
  • Assist with preparation and follow-up for client meetings, including preparing client forms and financial reports in advance.
  • Attend meetings, take notes, and send summaries to clients and the advisory team.
  • Maintain and perform quality control on Salesforce CRM.
  • Receive client calls and resolve questions and issues as needed.
  • Coordinate internally across departments to ensure tasks and follow-up are completed in a timely manner.
  • Interact regularly with third parties and high-net-worth clients.
