Requirements
  • Knowledge of the general functions and protocols of clinical and administrative departments within Naval Medical Center Portsmouth.
  • Knowledge of medical information, data recording, medical terminology, patient registration, triage, patient flow, patient care, patient record maintenance, and patient eligibility regulations.
  • Knowledge of forms used for filing and medical records, including assembling patient charts.
  • Knowledge of MHS GENESIS for word processing, appointment scheduling, statistical reporting, general communication, and clinic workload documentation.
  • Knowledge of spelling, punctuation, grammar, and medical terminology.
  • Typing skills to prepare correspondence and enter data into MHS GENESIS and other computer systems.
  • Knowledge of Microsoft Windows and Microsoft Word, Excel, and Access.
  • Ability to perform computerized and manual patient registration, assess patient needs and eligibility, collect and record patient information, and provide patient services.
  • Ability to pass a tuberculosis test, background/security investigation, pre-employment drug screening, and comply with DHA vaccination requirements.
  • U.S. citizenship is required.
  • At least one year of clerical experience in a medical setting, or an equivalent combination of education and experience demonstrating the required knowledge, skills, and abilities.
  • Basic Life Support certification from the American Heart Association or American Red Cross; online classes are not accepted by the Government.
Responsibilities
  • Greet patients and visitors at the clinic front desk and check patients in for encounters.
  • Answer the main office phone line and receive calls from physicians, emergency room personnel, providers, other departments, and patients.
  • Schedule medical appointments and determine patient eligibility for services.
  • Create appointment schedules and templates in the patient appointment computer system.
  • Obtain documentation requested by healthcare providers.
  • Perform administrative and clerical duties supporting medical care and operations.
  • Conduct end-of-day processing and resolve delinquent or pending appointments in the computer system.
  • Greet patients arriving at the Emergency Department and perform face-to-face registration at the bedside or registration desk.
  • Receive and respond to patient inquiries and refer medical questions about a patient's condition or treatment to physicians and nurses.
  • Prepare and type correspondence and perform administrative tasks related to patient visits using specific guidelines.
  • Check charts, transcribe requests for ancillary studies from handwritten charts into MHS GENESIS, retrieve completed laboratory results, produce hard copies, and place them on patient charts.
  • Organize, file, and retrieve medical records according to clinic guidelines.
