Requirements
  • Proficiency in using all front and back office equipment.
  • Ability to follow cash, credit, cheque, accounting, banking, key-issue, guest-confidentiality, health and safety, fire, evacuation, and property procedures.
  • Ability to comply with safe manual-handling, hazardous-chemical, machinery, working-at-heights, protective-equipment, hygiene, and workplace health and safety practices.
  • Ability to complete required health and safety training, report hazards and incidents, participate in risk assessments, and complete incident documentation.
  • Ability to maintain confidentiality of hotel, customer, and staff information and transactions.
  • Ability to complete tasks accurately within given time frames and provide a concise handover.
Responsibilities
  • Manage the daily reconciliation of the hotel's trading during the night shift.
  • Check and prepare reports and statistical information in accordance with service standards and auditing procedures.
  • Represent the General Manager in their absence and take responsibility for the smooth and efficient running of the hotel's overnight operation.
  • Ensure guest satisfaction and the safety and security of the property.
  • Complete thorough audits of daily revenue and postings and make adjustments to ensure accurate reporting.
  • Collate departure paperwork, including credit-card and company charges, for forwarding to the Accounts department.
  • Process management accounts as required.
  • Verify that in-house guest reservation details, including room rates, dates of stay, and authority to charge, are recorded correctly.
  • Complete computer tasks for night-audit functions, including posting room charges and daily room revenue.
  • Complete backup procedures to save all data.
  • Prepare and distribute relevant reports and maintain weekly and monthly hotel statistics.
  • Provide supervision and support to the Front Office team and other departments when required.
  • Maintain suitable staffing levels for the Front Office team and authorize departmental rosters and roster changes.
  • Ensure department policies and procedures are understood and followed by employees.
  • Communicate new and updated information regarding policies, rates, and general hotel information.
  • Ensure accurate billing and collection of monies and assist the Finance Department with collecting amounts owed by customers.
  • Ensure timely settlement of travel-agent commissions and assist the Finance Department with accounting.
  • Review guest files exceeding hotel limits and follow up as required.
  • Check shift banking and ensure correct cash-handling procedures are followed.
  • Maintain the security of monetary floats and enforce cash-handling procedures.
  • Facilitate departmental operations through adequate supplies and equipment.
  • Adhere to the department budget through the Purchase Order System and inventory controls.
  • Control costs in awareness of forecasted business and targeted profitability while maintaining standards.
  • Establish ongoing on-the-job training programs using Department Procedure Manuals and service standards.
  • Induct new staff into the team, department, and hotel and ensure staff follow brand and service standards and procedure manuals.
  • Use guest feedback to improve product and service delivery.
  • Brief and debrief staff, hold departmental meetings, and communicate with other hotel departments.
  • Ensure effective staffing strategies and practices support financial and service-quality targets.
  • Build a team that works together with trust and takes responsibility for department and hotel goals.
  • Implement Accor training initiatives, including coordinated and structured on-the-job training aligned with service standards and procedures.
  • Appraise staff performance using the Accor performance review system, ensure probationary and annual reviews are conducted, address performance issues, and counsel staff as required.
  • Ensure staff presentation complies with the hotel staff handbook, including uniforms and name badges.
  • Ensure staff under direct supervision are managed in accordance with the relevant award.
  • Ensure the employee department induction program is completed within four weeks.
  • Report safety limitations, hazards, incidents, injuries, system problems, and equipment faults to the appropriate manager and complete required documentation.
  • Keep equipment in good working order and ensure it is used for its intended purpose.
  • Participate in workplace health and safety consultation and the rehabilitation program as required.
  • Maintain food-handling and presentation hygiene standards in accordance with council and legislative regulations.
  • Follow Accor brand, departmental, policy, and property procedures.
  • Provide efficient, friendly, and professional service to all guests.
  • Handle guest requests, escalate difficulties to the Manager on Duty, and promote a positive customer experience.
  • Actively sell hotel promotions and facilities.
  • Participate in scheduled training, development programs, and departmental meetings.
  • Follow equal-employment-opportunity, anti-harassment, grooming, conduct, emergency, and workplace policies.
  • Complete other reasonable duties within the scope of competence as requested by a supervisor or hotel management.
  • Cooperate with monitoring and recording conducted as part of Accor's customer-service program.
