About the Role
As the Vice President of Facilities, you will play a pivotal role in shaping the strategic direction and operational excellence of our maintenance programs. Reporting directly to the Head of Operations/Property Management, you will oversee teams of dedicated professionals, developing best-in-class maintenance programs across our diverse portfolio of multifamily properties.
Responsibilities
- Provide technical and operational support to maintenance and operations teams, create efficiencies, and meet maintenance performance standards
- Develop, implement, and improve preventative maintenance programs
- Inspect and audit properties to verify they are following company policies and procedures
- Lead mitigation and remediation of larger maintenance-related issues
- Identify life safety, employee safety, and physical hazards on-site and provide corrective solutions.
- Ensure effective oversight and execution of work orders, unit turns, standard R&M, and preventative maintenance
- Lead recruiting, interviewing, onboarding, training, and mentoring of facilities teams
- Work directly with the Executive team to implement company and ownership goals for each property, centered around maximizing revenue and controlling expenses
- Perform quarterly business reviews with regional service contractors to ensure they are performing to the requirements of their contracts and providing high-quality work
- Monitor budgets and turnover expenditures to come up with cost reduction recommendations
- Monitor and evaluate business performance by implementing and measuring key metrics surrounding but not limited to: preventative maintenance, compliance and inspections, standard operational reporting (e.g., work orders, unit turns), and resident feedback
- Work closely with the Capital Projects Team, ensuring on-time and under-budget delivery of deferred maintenance projects, and providing support where necessary
- Ensure properties are operating in accordance with all federal, state, and local requirements, including but not limited to OSHA, EPA, NFPA, electrical and building codes
- Ensure compliance with company safety policies, and quickly identify and remediate safety hazards
- Ensure facility team members complete required training and assist in developing and facilitating additional hands-on maintenance training classes
- Perform regular portfolio-wide analyses of service contracts and system uptime
- Review costs, scope, and performance of all recurring maintenance contracts, and recommend vendor and scope changes as necessary
- Compare contract scopes and costs between properties and regions to surface opportunities for improvement and/or savings
- Analyze and work to improve critical systems uptime (e.g., elevators, HVAC, electrical, fire & life safety)
- Oversee all major critical systems repairs and upgrades
- Required to visit all properties within the portfolio to ensure the efficient operation and coordination of all facilities departments.
Ideal Background
- 10+ years’ experience overseeing facilities teams across multiple Class A multifamily properties or equivalent experience
- Four-year college degree or equivalent experience
- Ability to evaluate and repair HVAC, plumbing, electrical, basic carpentry, and mechanical equipment and systems
- Knowledge and experience in the review and application of NFPA life and fire safety codes
- Strong understanding of OSHA standards and SDS regulations
- Excellent written and verbal communication skills
- Ability to contribute to expense forecasting and variance analysis
- Yardi knowledge and MS Office experience, including Excel
- Ability to travel approximately 40-60%; availability to work all shifts, including weekends as necessary
