Requirements
  • 5-8 years of experience in workplace operations, facilities management, or similar roles, ideally within a fast-paced and dynamic environment.
  • Experience driving contract negotiations.
  • Strong understanding of health and safety regulations and best practices in the U.S.; experience with regulations in the United Kingdom and The Netherlands preferred.
  • Proven experience managing physical offices and working with managed office spaces or third-party providers.
  • Exceptional communication skills with the ability to collaborate effectively across teams and with senior leadership.
  • Strong data-driven mindset, with the ability to gather, analyze, and leverage data to inform decisions and improve workplace operations. Proven experience using data to present actionable insights to leadership and influence strategic decisions.
  • Highly organized, with strong project management skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Comfortable traveling up to 20% of the time to provide in-person support to U.S. offices in San Francisco, New York City and Arlington, VA, with more cities to be added.
  • Experience working in a global setting and coordinating across multiple offices or regions.
  • Familiarity with Google Suite, Envoy, WeWork, GrubHub preferred.
Responsibilities
  • Oversee the daily operations of the U.S. Hubs, ensuring efficiency, cleanliness, safety, and an engaging employee experience. Manage the office environment and respond to workplace requests promptly to maintain productivity. Travel to Hubs in San Francisco, New York City and Arlington, VA as needed.
  • Daily on-site management of the Austin office will also include Executive partnership to ensure that local Executives are set-up for success.
  • Analyze operational trends to identify improvements and anticipate future needs. Contribute to oversight of operating budgets by adhering to budget guidelines and following protocol.
  • Work with IT to manage office access, security protocols, and badge systems for U.S. cities. Ensure processes are efficient and meet company policies, coordinating with external vendors as needed, and mirroring processes in Europe when possible.
  • Implement and maintain safety measures across all Hubs, ensuring compliance with local regulations. Conduct safety audits, assess risks, and support accommodations. Work with HR to deliver mandatory safety training and collaborate with IT to provide ergonomic equipment for both in-office and remote workspaces.
  • Partner with the Workplace Experience Coordinator to support the London and Amsterdam Hubs, ensuring seamless communication, service consistency, and alignment with company goals. Share insights and operational metrics across locations to improve efficiency.
  • Manage vendor relationships for maintenance, cleaning, security, food service and office supplies, ensuring high-quality service. Regularly evaluate vendor performance and negotiate contracts that optimize costs and service levels.
  • Optimize office layouts and meeting room configurations to enhance collaboration, productivity, and hybrid work integration. Leverage insights from space usage data to guide planning and make informed decisions on future space needs.
  • Continuously improve the office environment by introducing amenities, events, and activities that foster a positive workplace culture. Gather feedback to tailor enhancements that benefit both in-office and hybrid employees.
  • Manage relocations, expansions, and new office openings while minimizing disruption. Coordinate tours, partner with corporate real estate, gather relevant data for decision-making, and present recommendations to leadership for approval.
  • Support Environmental, Social, and Governance (ESG) initiatives by partnering with the legal team on workplace-related RFPs. Contribute to greenhouse gas emission analysis and ensure sustainability goals are met in line with company ESG commitments.
  • Collaborate with HR and leadership to cultivate an inclusive and motivating workplace culture. Lead efforts to improve employee experience across both physical and remote settings, aligning with the company’s hybrid work model and long-term goals.
  • Contribute to hybrid workplace strategy, ensuring that offices remain central to company culture while supporting a flexible, remote-friendly workforce. Innovate processes and implement new technologies to boost engagement and collaboration.
