Requirements
  • A bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • At least two years of relevant professional experience in accounting, finance, fixed assets, inventory management, or a related area.
  • A solid understanding of accounting principles, reconciliations, financial reporting, and general ledger activities.
  • Proficiency in Microsoft Excel and experience working with financial or enterprise resource planning systems.
  • Strong organizational, analytical, communication, and problem-solving skills.
  • The ability to work independently, manage multiple priorities and deadlines, and collaborate effectively with departments across the University.
  • The ability to work in a hybrid environment and travel to the main campus and other University locations as needed to tag and verify assets, assist with physical inventories, and support other asset management activities.
  • Computer literacy.
  • The ability to perform the listed physical job functions, including frequent walking and mobility, repetitive hand and arm motions, occasional lifting, carrying, pushing, and pulling of objects up to 15 pounds, and maintaining the specified visual, hearing, tactile, and motor capabilities.
Responsibilities
  • Administer and maintain the University's fixed asset accounting and inventory management programs.
  • Process, audit, and reconcile capital asset transactions, including Investment in Plant acquisitions, MMEs, projects, donations, trade-ins, and other asset-related changes within the Asset Management Systems and Workday.
  • Review supporting documentation to determine capitalization eligibility, calculate asset values, assign asset categories and depreciation codes, and reconcile expenditures to reporting forms, purchase orders, summary reports, and the general ledger.
  • Research and process account reclassifications and journal entries to ensure accurate financial reporting and compliance with capitalization guidelines.
  • Coordinate and verify trade-in transactions, including confirming approvals, validating asset retirement documentation, and removing assets from the Asset Management Systems and general ledger.
  • Complete reporting and reconciliation activities within established deadlines and manage the scanning, indexing, and retention of reporting forms, retirement records, and inventory documentation.
  • Perform monthly reconciliations of asset activity between the Fixed Asset Subledger and General Ledger, including trial balance, expenditures, asset additions, depreciation expense, and accumulated depreciation for all University departments.
  • Prepare and maintain reconciliation documentation to support annual financial audits and provide auditors with complete and accurate asset reporting.
  • Audit and reconcile data collected during the annual inventory process, maintain current listings of Department Business Managers and Property Liaisons, update departmental cost centers and FDMs, and provide AiM and Workday training as needed.
  • Review, approve, and import completed inventory information into Asset Management Systems; resolve comments, requests, and discrepancies; update asset records; and monitor compliance with institutional policies and procedures.
  • Communicate inventory deficiencies and issue failure-to-comply notifications to Deans when appropriate.
  • Audit and reconcile disposal and transfer documentation for equipment valued at $5,000 or greater.
  • Process retirements, departmental transfers, building and room location changes, major movable equipment relocations, and vehicle transfers accurately and within the appropriate fiscal year.
  • Create and update a desktop procedure manual for the position.
  • Assist with the implementation, enhancement, testing, validation, and ongoing support of financial, accounting, and asset management systems, including Workday, AiM, and related applications.
  • Provide oversight of financially related functionality, processes, and reporting within and outside the enterprise resource planning environment to ensure system accuracy, data integrity, compliance, and operational efficiency.
  • Provide fixed asset process training, customer support, process improvement recommendations, and assistance with system enhancements.
  • Perform other duties and cross-training as assigned.
