Requirements
  • At least 3 years of accounting, project accounting, or construction administration experience.
  • Proficiency with Microsoft Office, particularly Excel.
  • A strong understanding of accounts payable, cost coding, job costing, and project financial tracking.
  • OSHA 10-Hour Certification is required, or the ability to obtain OSHA 30-Hour Certification within the first six months of employment.
  • The ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
  • The ability to maintain confidentiality and exercise sound judgment when handling sensitive financial information.
Responsibilities
  • Process and review subcontractor invoices for accuracy and compliance with contracts, purchase orders, and project budgets.
  • Code and reconcile project expenses, invoices, and credit card transactions within accounting systems.
  • Assist with project cost tracking, budget monitoring, and budget-to-actual reporting.
  • Monitor retention and holdback schedules and support release documentation.
  • Identify discrepancies, investigate variances, and communicate issues proactively.
  • Maintain accurate project information, records, and documentation in Procore.
  • Manage project financial and administrative files using company document control standards.
  • Track RFIs, submittals, change orders, and project correspondence to ensure timely processing.
  • Generate project reports and support project teams with financial and operational information.
  • Maintain subcontractor compliance records, including insurance certificates, licenses, and required documentation.
  • Serve as a liaison between Project Management, Accounting, Operations, and subcontractors.
  • Support project startup activities, subcontractor onboarding, and project closeout processes.
  • Respond to project-related information requests in a timely and professional manner.
  • Assist with administrative tasks and process improvements that support overall project efficiency.
  • Remain seated and work at a computer for extended periods.
  • Use standard office equipment, including computers, phones, and printers.
  • Occasionally lift or move materials and files up to 25 pounds.
Desired Qualifications
  • Experience in construction, contracting, or project-based environments.
  • Experience with Procore, Acumatica, or similar construction/project accounting software.
  • Strong organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills.
