Title: Facilities Manager (UK)
The Role:
The Facilities Manager is responsible for a broad range of Facilities management administrative, technical and support functions within the Operations department and in essence entails Leading and managing a portfolio of buildings support the specific portfolio and management of the properties day by day.
The Role includes overall responsibility, accountability and delivery on all departmental Facilities Management Key Performance Areas (Pillars) and includes but is not limited to screening and handling verbal and written correspondence and problem communications; Dealing with landlords and other stakeholders directly where necessary; analysing and determining the nature of complex emergency responses,
Providing Technical Guidance on solutions to operational works and problems, overseeing FM purchasing to procure goods and services in line with the relevant delegation of authority; handling maintenance and construction projects; processing and maintaining records, managing service contracts and service level agreements, researching and compiling status reports and other reports, maintaining projects and compliance schedules including the management of compliance including OHS, organizing & chairing meetings, handling personnel items, and providing assistance to staff & Portfolios; and performing other duties as assigned. Planning, organising, leading and control are therefore integral aspects of this daily routine.
Essential Duties/Principal responsibilities:
- Inspecting a building and its operations to determine vital services, repairs and maintenance records
- Support the site leads with any required work and or property issues
- Managing building and system emergencies as they arise
- Sourcing contractors and suppliers for repairs, maintenance, cleaning, renovations, waste disposal, security and IT systems
- Ensuring that facilities meet government regulations, health and security standards and energy efficiency requirements
- Develop a property portfolio to track maintenance schedules, remedial and major works, incl. lease date renewals.
- Managing property budgets and accounts, including areas for cost savings
- Developing building plans outlining strategies for improving efficiency and reducing costs and forecasting the facility’s future needs
- Writing maintenance reports
- Ensuring compliance with all safety and security protocols
- Oversee tactical procurement of building contractors
Qualifications: Education, Experience, Skills, Abilities, License/Certification:
- Min 5 years in a similar facilities management role
- Leadership skills to manage contractors and building suppliers
- Excellent verbal and written communication skills
- Sound knowledge of health and safety legislation
- Negotiation skills for negotiating contracts and for managing projects
- The ability to set targets, deadlines and budgets
- Qualifications in health and safety or facilities management
- Sound problem-solving skills and a willingness to be available after-hours when required
