Requirements
  • At least 2 years of experience in congress engagement, key opinion leader and pharmaceutical stakeholder management, and congress or medical education event project planning and execution.
  • Experience with pharmaceutical meeting and congress planning and execution from an agency or corporate background.
  • Knowledge of pharmaceutical event approval workflows across Commercial, Medical, and Legal Review.
  • Expertise in congress, meetings, and event project management and process workflows.
  • Ability to build strong relationships with customers, key opinion leaders, and medical societies using a service-driven approach.
  • Ability to influence stakeholders and escalate issues to leadership when necessary.
  • Ability to deliver practical technical solutions and confidently build and ship them.
  • Ability to balance pharmaceutical regulatory compliance and legal review processes with business objectives.
  • Ability to generalize customer needs and prioritize solutions that deliver value.
  • Availability for frequent travel, out-of-hours work, and weekend work.
Responsibilities
  • Lead and execute end-to-end congress, webinar, advisory board, and medical education event projects onsite and remotely.
  • Independently build, configure, and launch live engagement applications, including web, mobile, portal, video, and artificial intelligence applications, using the SpotMe Backstage Content Management System.
  • Manage customers and senior stakeholders through clear and timely communications throughout the project lifecycle.
  • Coordinate with stakeholders before live events to ensure seamless event-day execution.
  • Train faculty, field sales teams, booth staff, and agencies.
  • Review event applications to ensure flawless delivery.
  • Configure and test onsite technology, including interaction-tracking applications, microapplications, iPads, and badge printers.
  • Brief and prepare speakers for webinars, virtual sessions, medical standalone events, and symposia.
  • Manage event operations for virtual and face-to-face projects.
  • Handle post-event communications, analyze event data, and deliver reports, dashboards, and recommendations to customers.
  • Build and test mobile applications and webinars during onboarding.
  • Build events in Backstage with minimal supervision and complete project reviews without errors in core event modules.
  • Manage at least three complete congress or life sciences projects end-to-end, including onsite presence for at least two events.
  • Complete an international onsite project with the Europe or Asia-Pacific team or customers.
  • Lead and complete projects across webinar, congress, medical education, and advisory board use cases.
  • Lead approximately seven onsite congress or life sciences projects per quarter, 13 remote projects per quarter, or an equivalent mix.
  • Supervise project work alongside junior or associate team members.
  • Step up to Program Lead on a brand engagement program and ensure program objectives and continuity are maintained.
  • Support new business through upsell referrals and business development activities with the sales team.
