Requirements
  • An Associate’s degree in Business Administration, Operations Management, Project Management, Facilities Management, or a related field, or an equivalent combination of education and progressively responsible operational experience.
  • Prior administrative, clerical, or related experience is preferred.
  • Proficiency in computer and office technology skills, specifically Microsoft Office programs.
  • A valid New York State driver’s license and reliable automobile are required.
Responsibilities
  • Develop, implement, and continuously improve operational processes, workflows, and tracking systems across the Facilities and Development Department.
  • Coordinate communication with vendors, contractors, and service providers regarding maintenance projects, repairs, inspections, and service agreements.
  • Obtain, organize, and track vendor quotes, proposals, and supporting documentation for maintenance-related purchases and services.
  • Assist with scheduling maintenance activities, preventative maintenance tasks, contractor visits, and facility projects.
  • Coordinate operational requests across departments and serve as a liaison between Facilities, Finance, Compliance, Programs, Information Technology, Human Resources, and external partners.
  • Maintain maintenance calendars and ensure timely completion of recurring monthly, quarterly, and annual inspections.
  • Develop and maintain project trackers, dashboards, action-item logs, and status reports for departmental priorities.
  • Maintain accurate records of work orders, maintenance activities, vendor contracts, and departmental documentation.
  • Coordinate with Human Resources to track maintenance-specific employee training requirements, achieved certifications, licenses, and compliance deadlines.
  • Assist in preparing reports, spreadsheets, budgets, and other administrative documents related to maintenance operations.
  • Provide operational support to the Vice President by managing incoming requests, monitoring priorities, coordinating follow-up activities, and ensuring timely completion of assigned tasks.
  • Support inventory tracking and procurement processes for maintenance supplies, equipment, and materials.
  • Coordinate day-to-day vehicle fleet operations, including preventive maintenance and repair scheduling, vehicle utilization and service-record tracking, and fleet-readiness monitoring.
  • Monitor outstanding action items, follow up with internal staff, vendors, and contractors, and escalate delays or barriers as appropriate.
  • Serve on agency committees as requested.
  • Integrate Trauma-Informed Care and its five principles into duties and interactions.
  • Maintain compliance with Federal Confidentiality requirements under 42 CFR Part 2, HIPAA, Medicaid, HUD, and other applicable regulations.
  • Maintain regular attendance at the work location.
