Requirements
  • A minimum of three years of spa experience, preferably at a large resort spa.
  • Computer and technology proficiency with Excel, Word, Outlook, and the Microsoft Office Suite.
  • Proficiency in actively managing the spa schedule and supporting computer systems and point-of-sale systems.
  • Reliability and punctuality, with daily workplace presence required.
  • Ability to work under pressure with patience and a calm demeanor.
  • Ability to work evenings, weekends, weekdays, and holidays when required.
  • Ability to sit, stand for eight hours or more per day, reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 40 pounds or more.
  • Excellent written and verbal English communication skills.
  • Ability to work cohesively with spa staff and coworkers as part of a team.
  • Strong organization and problem-solving skills, with demonstrated ability to manage multiple priorities simultaneously and exercise good judgment in guest and employee situations.
  • Comfort working outdoors and navigating uneven ground, diverse terrain, and multiple stairs in unpredictable weather conditions.
Responsibilities
  • Input and track all massage therapist and yoga instructor schedules, the daily yoga program, yoga workshops, and private retreats.
  • Oversee private retreat inquiries, site inspections, rental agreements, retreat guest arrival preparation, and details needed by retreat hosts.
  • Learn Spa Attendant and Spa Supervisor tasks to support interviewing, training, and onboarding of new staff.
  • Back up Spa Attendants and Spa Management during staffing shortages or busy periods.
  • Oversee timely scheduling of licensed massage therapists and make schedule adjustments for sick, injured, or absent therapists.
  • Schedule spa appointments to optimize licensed massage therapist schedules and treatment room revenue.
  • Oversee all aspects of the yoga program, including instructor scheduling, auditions, yurt cleanliness, and equipment ordering.
  • Schedule and coordinate daily yoga classes, ensuring instructor coverage for every class.
  • Plan and coordinate logistics for one to three yoga workshops per month, including instructor booking, yurt scheduling, and promotion with marketing and front desk teams.
  • Manage the retreat yurt calendar and coordinate one to three private retreats per month, including room blocks, dining or self-catering arrangements, and communication with retreat leaders or organizers.
  • Maintain the yoga yurt and retreat yurt calendars to prevent double-booking and ensure smooth handoffs.
  • Conduct site inspections for potential retreat hosts and provide tours of the springs and spa.
  • Answer phones and return calls to provide accurate spa and resort information.
  • Assist with spa functionality and operations under the direction of, and in the absence of, the Spa Manager and Assistant Spa Manager.
  • Communicate with staff, management, and contractors about daily operations and issues, using interpersonal skills to resolve concerns and support collaboration.
  • Assist Spa Management with spa activities, special projects, and other spa responsibilities.
  • Greet guests and explain spa services as needed.
  • Communicate guest requests or problems to the Spa Manager in a timely manner.
  • Assist with hiring and training new employees using training manuals and checklists.
  • Perform other related duties assigned by a supervisor or management.
Desired Qualifications
  • Certification as a yoga instructor or a personal daily yoga practice.
  • Experience planning events, retreats, or workshops.
  • First Aid, automated external defibrillator, and cardiopulmonary resuscitation certification, or willingness to become certified.
  • Proven leadership qualities.
