POSITION DESCRIPTION

The Spa Program Coordinator at Ojo Caliente Mineral Springs Resort & Spa is responsible for the oversight of all appointments and bookings in the Spa Department. This includes massage therapist schedules, yoga instructor schedules, yoga program, workshop dates, press visits, photo shoots, etc. The Spa Program Coordinator also oversees all private retreat inquiries, site inspections, rental agreements, preparing for the arrival of retreat guests, and anticipating all details needed by the host. Oversight of contractor compensation will be completed twice monthly. As a member of the Spa Department all tasks and responsibilities of Spa Attendants/Supervisors will be learned to be able to support in interviewing, training, and onboarding of new staff. The Spa Program Coordinator will also back up Spa Attendants and Spa Management when short-staffed, or during busy periods to provide an exceptional guest experience.  

Please note that there may be times when you are asked to work on your typical days off, holiday, weekends due to the seasonal needs of the resort. The Spa Program Coordinator works closely with the Ojo Spa Resorts LMT Liaison & Trainer, Spa Manager, Assistant Spa Manager, Spa Supervisors, Spa Attendants, and other departmental staff to attain all department goals.

Responsibilities

1. Oversees the timely scheduling of all LMTs following the guidelines set forth by management. Making necessary schedule adjustments as needed or in the event of a sick/injured/no show therapist.
2. Scheduling spa appointments so they optimize the LMT schedule and treatment room revenue.
3. Oversees all aspects of the yoga program including scheduling instructors, auditions, yurt cleanliness, ordering of equipment, etc.
4. Collaborates with the OSR LMT Liaison and Trainer on a regular basis. Upon request, assist the OSR LMT Liaison and Trainer to recruit and contract with LMTs  and Yoga Instructors (e.g. independent contractors). Assists in providing training on departmental operations. 
5. Handle site inspections for potential retreat hosts. Tours of the springs and spa for inquiring guests.
6. Promptly answers phones and returns calls to provide accurate spa and related resort information as needed.
7. Assists in the functionality and operations of the spa under the direction and in the absence of the Spa Manager and Assistant Spa Manager. 
8. Communicates effectively in a timely manner with staff and management regarding the daily operations and issues that arise.
9. Assists Spa Management with spa activities, special projects, and other spa responsibilities as needed.
10. Greets guests with a sincere welcome and explain spa services, as needed.
11. Communicates with Spa Manager regarding any guest requests or problems in a timely manner.
12. Assists in hiring and training new employees by utilizing provided training manuals and checklists to ensure they understand the correct way of completing tasks.
13. Oversees and manages the work of reporting team members. Provides coaching opportunities for improvement. Encourages overall group cooperation. 
14. Ensures locker rooms, relaxation rooms, springs facilities, and pool areas are spotlessly clean, well-stocked and safe.
15. Assists in monthly and quarterly department inventories of linens, yoga supplies, products, and supplies.
16. Reports work orders in a timely manner.
17. Incorporates the resort’s culture of service excellence, mission, and core values into all aspects of job performance.

Qualifications 

1. Minimum of three years of spa experience, preferably at a large resort spa.
2. First Aid/AED/CPR certification preferred, or willing to become certified.
3. Computer and technology proficient. Excel, Word, Outlook. (Microsoft Office Suite)
4. Masterful at actively managing the spa schedule and supporting computer systems/POS.
5. Reliable and punctual. Being present in the workplace daily is key to success.
6. Ability to work under pressure with a high level of patience and calm demeanor.
7. Ability to work evenings, weekends, weekdays, and holidays if required.
8. Ability to sit, stand (for eight hours or more a day), reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 40 pounds or more.
9. Excellent English communication skills; both written and verbal. Bi-lingual a plus.
10. Proven leadership qualities. Ability to work cohesively with all Spa staff and co-workers as part of a team.
11. Strong organization and problem-solving skills. Demonstrated success at working multiple priorities simultaneously.      Exercising good judgment with guest and employee situations and challenges.
