  • A high school diploma and two years of office administration experience are required; alternate combinations of education and experience may be considered case by case.
  • Knowledge of office management practices and procedures, confidentiality procedures, Microsoft Office software, effective customer service methods and techniques, and data and records management is required.
  • Ability to draft professional and technical written communications and correspondence, including formal reports, letters, and memoranda, is required.
  • Ability to use and manage virtual meeting platforms to conduct meetings in accordance with open meetings laws is required.
  • Ability to support day-to-day office operations accurately, professionally, and confidentially is required.
  • Ability to handle confidential information with discretion is required.

Responsibilities
  • Provide high-level comprehensive administrative support for the Administration Section, Montana Board of Crime Control, and Youth Justice Advisory Council.
  • Coordinate and manage schedules and provide administrative support for meetings.
  • Draft reports, memoranda, meeting minutes, written communications, and correspondence.
  • Provide administrative support for staff, Board members, and Council members, including travel arrangements, event coordination, form and template development or updating, data and records management, and supply and equipment inventories.
  • Assist with diverse administrative operations, modify workflow processes, and resolve day-to-day operational needs.
  • Serve as the primary point of contact for internal and external inquiries, including agency phone calls and emails.
  • Greet and direct visitors to the appropriate person according to their needs.
  • Provide guidance and instructions to other agency staff.
Desired Qualifications
  • Experience providing administrative support for boards, councils, and committees is preferred.
  • Strong attention to detail and organizational skills are preferred.
  • Exceptional customer service and the ability to work in a team environment are preferred.
