Requirements
  • A minimum of two years of legal billing experience is required.
  • Knowledge of billing systems such as Aderant or Elite is required.
  • Experience with electronic billing is required.
  • Basic math skills, including addition, subtraction, multiplication, division, and percentage calculations, are required.
  • Excellent spelling and grammar skills are required.
  • Demonstrated proficiency with Microsoft Word and Microsoft Excel is required.
  • Strong attention to detail and the ability to follow instructions accurately are required.
  • The ability to prioritize and organize workflow to complete tasks in a timely manner is required.

Responsibilities
  • Process a high volume of bills accurately and promptly each month, including complex bills involving split-party billing and multiple discounts by matter for client-level bills.
  • Become familiar with clients’ special fee arrangements and serve as a resource to billing professionals on implementing those arrangements.
  • Create and maintain accurate, up-to-date client-specific and billing-professional-specific billing instructions.
  • Review client and matter setup for accuracy and consistency.
  • Review and edit pre-bills according to billing professional instructions and client billing guidelines.
  • Communicate with billing professionals, assistants, and clients to resolve billing-process issues and ensure bills are mailed promptly.
  • Escalate issues to the Lead Billing Specialist when necessary, clearly explaining the issue and possible solutions.
  • Listen to issues raised by billing professionals and suggest process changes to the Lead Billing Specialist.
  • Explain the firm’s billing policies, including write-off and carry-forward policies, to billing professionals and their assistants.
  • Monitor carry-forwards and write-offs and alert the Lead Billing Specialist to problems.
  • Coordinate with Accounts Payable to ensure all costs are captured promptly, particularly for out-of-cycle invoices such as those generated when a closing occurs.
  • Troubleshoot billing issues with Collections that result in payment problems.
  • Create billing schedules and prepare bill and payment analyses as required.
  • Assist with special billing projects as needed.
