Requirements

Responsibilities
  • Support the department and department leadership with daily clerical tasks.
  • Prepare basic reports, charts, budgets, and other presentation materials.
  • Respond to routine inquiries from external or internal sources using standard correspondence or other messaging.
  • Plan meetings and take detailed minutes as needed.
  • Answer phone calls, provide information to callers, and connect callers with appropriate staff.
  • Schedule appointments and update calendars.
  • Make travel arrangements and reservations for department leadership and staff as needed.
  • Compose and type correspondence, create spreadsheets, and prepare presentations.
  • Greet visitors and provide general support.
  • Develop and maintain the department filing system.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Serve as the primary administrative assistant for all 36 dermatology faculty.
  • Answer telephones, take messages, answer routine questions, transfer calls, greet visitors and callers, handle inquiries, and direct individuals according to their needs.
  • Initiate and monitor IDRs, expense reports, facilities requests, and telecommunication work orders for the department.
  • Assist with departmental special projects, fundraising campaigns, mailings, special activities, and meetings.
  • Maintain the Dermatology Administrative Office and media room and ensure media equipment is functioning properly.
  • Maintain the schedule for the Dermatology conference room and library as appropriate.
  • Order administrative office supplies.
  • Distribute daily mail for the entire department.
  • Monitor lab coat pickup and deliveries.
  • Assist faculty with administrative and academic roles.
  • Assist providers in scheduling conferences, meetings, trainings, and related events.
  • Perform other duties as assigned.
