Requirements
  • Experience using virtual meeting tools such as Microsoft Teams.
  • Knowledge of Google Drive, Google Classroom, projectors, digital whiteboards, and other meeting tools.
  • Advanced knowledge of Microsoft Word, Excel, the Internet, and email.
  • High school graduation or equivalent and at least 3 years of office experience.
  • Strong written and oral communication skills.
  • Typing speed of 40 words per minute.
  • Knowledge of office procedures and the ability to meet timelines.
  • Ability to work in a team-oriented environment.
  • Customer service skills and sensitivity toward the educational needs of newcomers.
  • Knowledge and experience using CIS, HARTs, and iCARE.
  • Ability to complete a written and technical assessment demonstrating written and planning skills and advanced proficiency with Microsoft Office applications and Outlook.
Responsibilities
  • Provide administrative and secretarial support to the in-person services of the LINC program.
  • Verify, compile, correct, and type statistical reports.
  • Manage the LINC program waiting list.
  • Track program expenses, complete center purchases, complete financial claims and payment requests, maintain the income and expense tracking system, manage petty cash, and provide regular financial updates to the program manager.
  • Prepare and type letters, documents, and certificates required for operation of the LINC program.
  • Create, organize, and maintain operational files online and in hard copies where needed.
  • Liaise with assessment centres for client intake assessment and placement.
  • Communicate with the Welcome Centre and community partners regarding client referrals.
  • Complete client registration and new-client registration in COSTI's CIS.
  • Support staff access to system applications, digital platforms, equipment, virtual conferencing tools, and the Learning Management System.
  • Support new-client access to virtual conferencing tools and prepare clients to attend virtual classes.
  • Contact and update supply instructors' information and availability.
  • Assist LINC instructors and the manager in arranging a supply instructor on short notice.
  • Collect and input client data into iCARE, HARTs, COSTI's CIS, and Welcome Centre systems.
  • Create, maintain, and close courses in iCARE, HARTs, and CIS systems.
  • Prepare materials for program outreach through web postings and social media, and review and update program information on the web.
  • Order office supplies as required.
  • Screen students for bus-ticket eligibility and manage bus-ticket distribution and tracking.
  • Maintain inventory of program materials and supplies.
  • Perform other administrative duties as required.
  • Assist with reception duties at the Welcome Centre as required.

  • Experience working in the LINC program.
  • Ability to speak a second language other than English.
