Requirements
  • At least 5 years of experience in an administrative office role, preferably at a school site.
  • Bilingual Spanish language ability is required.
  • Demonstrated success working with parents and families, especially Black, African American, Latino/a/x, and immigrant families.
  • Ability to use functional software such as PowerSchool or quickly learn new platforms.
  • Continuous current California residency is required after hire.
  • Ability to talk and hear when answering phones and greeting visitors.
  • Ability to sit, stand, type, walk, reach with the arms and hands, and lift or carry heavy items such as office supplies or catering deliveries.
  • Ability to read and use close vision with extended screen time.

Responsibilities
  • Check in late students and make attendance calls.
  • Administer basic first aid to students.
  • Answer phones and receive visitors in a friendly, professional, and informative manner.
  • Provide Spanish translation for parent meetings, phone calls, and written communications, including one to two evenings per month.
  • Communicate with families in English and Spanish to support student success.
  • Implement a system for organizing office spaces, including desks, cabinets, and common areas.
  • Regularly declutter and reorganize office spaces to maintain an efficient work environment.
  • Order supplies as needed.
  • Organize the distribution of Chromebook computers in the office.
  • Help manage facilities and custodial services as needed.
  • Implement procedures for maintaining school records and ensuring consistency and accuracy.
  • Conduct regular audits of records to identify and correct discrepancies.
  • Request cumulative files for incoming students within one week of enrollment.
  • Collect student documents by the student start date and file them within two days.
  • Create a daily schedule outlining tasks and estimated durations.
  • Complete focused attendance tasks at designated times and file attendance records accordingly.
  • Update attendance records daily to reflect student tardiness and attendance accurately.
  • Maintain attendance, student, and general office files and assist with faxing and copying.
  • Update daily attendance in PowerSchool and print daily attendance reports.
  • Use the established filing system to organize paperwork and prioritize tasks.
  • Adhere to food safety guidelines and protocols.
  • Oversee food service and serve breakfast and lunch every day.
  • Take proactive steps to support teammates and community members.
  • Communicate effectively with colleagues, families, and community members.
  • Uphold the district’s pro-Black, anti-racist vision and avoid microaggressions.
  • Assist with planning and coordinating school events and activities.
  • Assist with student recruitment and enrollment, including tours, events, and family communications.
  • Collaborate with the Office Manager, Principal, and other office and school staff.
  • Perform other duties assigned by the Office Manager or Principal.
