OVERVIEW
This role is responsible for managing employee leave programs, including medical, family, and disability leaves, as well as overseeing workers’ compensation claims in alignment with our business core values. The ideal candidate will ensure compliance with all relevant laws and company policies while providing support to employees during their time away from work. In addition, this role will work closely with a third-party leaves administrator and serve as a resource for both employees and managers’ consultation and guidance within the complex arena of leaves and accommodations.
RESPONSIBILITIES
- Primary contact for all leaves of absences and workplace accommodations for Retail, Corporate, and Warehouse employees.
- Administer leave of absence programs, including FMLA, ADA, and state-specific leave policies. Oversee the management, communication, analysis, and administration of US and Canada leaves and accommodations.
- Collaborate with HR, management, benefits, and employees to facilitate a smooth leave process. Work with third-party administrator to ensure the maintenance of employee leave records and confidential medical information is in accordance with federal and state laws and internal policies.
- Analyze leave requests and reviews employee eligibility and certification. Collaborates with HR and Legal team as needed to ensure all leaves are properly designated.
- Review and assess employee accommodation requests, ensuring compliance with ADA and other applicable laws, regulations, and company policies. Ensure all medical information is maintained in accordance with HIPAA regulations and privacy guidelines are closely monitored and effectively executed.
- Coordinate and facilitate all ADA interactive meetings with employees requesting accommodation in a timely manner.
- Maintain appropriate contact with all employees on leave and respective management to communicate updates and coordinate all aspects of return-to-work for employees on leave.
- Collaborate with Benefits, Legal, and HR team to develop and deliver training and resources for employees and managers on leave of absence and accommodation policies and procedures.
- Manage the entire worker’s compensation claims process from initial reporting to resolution. This includes documenting incidents, filing claims with insurance carriers, and monitoring claim status.
- Evaluate accident reports to determine accuracy and completeness and to ensure adequate scope of investigation for HR and health and safety team.
- Coordinate benefits and services for injured employees, including medical treatment, rehabilitation, and disability accommodations. Work with healthcare providers and insurers to facilitate appropriate care and support for injured workers.
- Properly document all incident/accident reports to carriers within 24 hours and coordinate the employee’s release to transitional duty.
- Complete required governmental (OSHA Log) and carrier filings and manage posting requirements across our HQ and Store fleet.
- Monitoring and staying up to date on requirements of different municipalities of the North American Market.

QUALIFICATIONS
- A Bachelor’s Degree from an accredited university. Excellent written and verbal communication skills.
- 7+ years of experience with US and Canadian leave administration and workers compensation. “Can-do” attitude – ability to collaborate with others.
- Experience in providing consultation of the accommodation process to managers, people professionals, employees, and/or business partners
- Highly ethical and able to deal with confidential issues with tact, discretion & confidentiality
- Strong knowledge of federal, state, provincial and local employment laws, particularly FMLA, ADA, FEHA, LOA, and California leave laws workers’ compensation laws, regulations, and best practices.
- Strong project management capabilities to develop and implement processes and initiatives in partnership with cross-functional partners
- Customer service oriented with strong organizational skills with a demonstrated ability to navigate in a fast-paced and performance-oriented environment
- Proficiency with HRIS, leave management systems, and Microsoft office systems a plus
The base salary range for this position is $100,000-$120,000 per year which represents the current range for the base salary for this exempt position. Please note that actual salaries will vary based on factors including but not limited to location, experience, and performance. As such, on occasion and when applicable, there is the possibility that the final, agreed-upon base salary may be outside of the upper end of the range. Please also note the range listed is just one component of the company’s total rewards package for exempt employees. Other rewards may include performance bonuses, long term incentives, a PTO policy, and many other progressive benefits.
