Requirements
  • A high school diploma and two or more years of experience in a health care environment, or an equivalent combination of education and experience.
  • Knowledge of International Classification of Diseases, Ninth and Tenth Revision, and Current Procedural Terminology coding.
  • Knowledge of medical terminology and customer or patient service experience.
  • Organizational and problem-solving skills, with the ability to manage multiple priorities.
  • Ability to convey information in writing and verbally.
  • High interpersonal skills to handle sensitive and confidential situations.
  • Demonstrated poise, tact, and diplomacy.
  • Knowledge of computer software applications including Microsoft Word, Excel, Access, and PowerPoint.
  • Continual attention to detail when composing, typing, and proofreading materials, establishing priorities, and meeting deadlines.
Responsibilities
  • Answer incoming calls, relay messages, respond to patient and staff inquiries, schedule clinical appointments, communicate with referring physician offices, respond to faxes, distribute incoming mail, and provide general administrative support.
  • Schedule appointments using a computerized appointment scheduling system, receive patients, coordinate medical records and related clinical and administrative documents, and communicate necessary information to patients.
  • Coordinate with other departments to ensure physician coverage for specialty procedures.
  • Maintain the physician’s calendar, notify the physician of changes, and set up meetings while notifying necessary parties.
  • Schedule physician-authorized tests and obtain precertifications from patients’ health care insurers or managed care providers.
  • Schedule patients for laboratory tests, clinical appointments, and consultations, and provide preparation information for tests and examinations.
  • Facilitate the preparation of patient paperwork on behalf of the physician.
  • Anticipate patient needs and take initiative to resolve patient problems.
  • Build and maintain patient charts, records, and confidential medical files; pull charts for clinical appointments and prepare them for the physician.
  • Monitor and order office supplies for the department or clinic.
  • Perform other related duties and assigned special projects or accountabilities.
  • Use job-related software and systems to perform assigned functions.
  • Travel to other clinical facilities when required to accommodate staffing levels.
  • Maintain attendance, promptness, professionalism, attention to detail, cooperation with coworkers and supervisors, and politeness toward customers, vendors, and patients.
  • Perform other duties or special projects as assigned.
