Responsibilities
  • Directly manage the Guest Services department, including supervision, training, scheduling, and performance evaluation of the Concierge team.
  • Lead Guest Services operations across Experience Concierge, VIP Services, Valet, Porter, Transportation, and Guest Relations while ensuring Forbes Five-Star standards.
  • Oversee pre-arrival communications, personalized itineraries, guest preferences, amenities, and special occasions for leisure and VIP guests.
  • Direct the Experience Concierge operation for pre-arrival and in-house guests.
  • Oversee the VIP Recognition Program, including gifts, amenities, room inspections, arrivals, and departures.
  • Partner with In-Room Dining and other departments to create personalized amenity experiences.
  • Greet, escort, and oversee VIP arrivals and support VIP guests throughout their stays and departures.
  • Resolve guest concerns and maintain guest satisfaction.
  • Monitor guest satisfaction platforms and coordinate follow-up, coaching opportunities, and service recovery.
  • Maintain expert knowledge of resort accommodations, amenities, dining, recreation, promotions, and local experiences.
  • Oversee daily operations for Experience Concierge, Valet, Porter, and VIP Services.
  • Develop operational plans with Valet leadership for arrivals, departures, special events, holidays, and peak occupancy periods.
  • Represent Guest Services during pre-conference meetings and coordinate transportation, porter, and VIP requirements for group arrivals.
  • Review occupancy, arrivals, departures, VIPs, group activity, and operational forecasts to anticipate guest needs.
  • Review and approve transportation requests, late departures, amenity deliveries, and special accommodations based on business levels.
  • Ensure guest communication logs, service requests, and operational follow-up are completed accurately and promptly.
  • Monitor front-drive operations, lobby flow, and guest arrival experiences, assisting operational teams during peak demand.
  • Ensure effective use of Opera Cloud, Alice, HotSOS, OpenTable, FareHarbor, Intelity, Zingle, and related operational systems.
  • Oversee safe-deposit procedures, guest valuables, lost and found, guest mail, package handling, and security protocols.
  • Partner with Housekeeping, Front Office, Engineering, Food and Beverage, Recreation, and Security to deliver seamless guest experiences.
  • Recruit, interview, onboard, and retain Guest Services talent.
  • Develop, coach, and mentor Experience, Porter, Valet, and Guest Services/Parking leaders.
  • Conduct daily stand-up meetings, operational briefings, and departmental communications.
  • Audit service delivery and provide real-time coaching to reinforce Forbes standards and luxury hospitality expectations.
  • Conduct performance evaluations, progressive coaching, recognition, and disciplinary action.
  • Develop and facilitate departmental training programs, onboarding, standard operating procedures, and professional development.
  • Prepare departmental schedules using occupancy forecasts, productivity standards, and labor budgets.
  • Monitor labor, operating expenses, and departmental revenues to achieve financial goals.
  • Establish inventory levels and oversee purchasing for departmental supplies.
  • Prepare payroll, administrative reports, operational documentation, and department communications.
  • Maintain departmental standard operating procedures and ensure compliance with resort policies, safety standards, and operating procedures.
  • Complete operational audits, maintenance requests, follow-up documentation, and shift transitions.
  • Support Front Office leadership during high occupancy by assisting with lobby management, arrivals, departures, and guest flow.
  • Collaborate with resort departments to create seamless guest experiences and promote interdepartmental communication.
  • Perform additional duties and special projects assigned by the Director of Guest Services.
  • Complete and direct scheduled inventories.
  • Prepare weekly breakdowns of Guest Services labor expenses.
  • Conduct quarterly departmental meetings and attend designated meetings.
  • Provide guest room tours during on-site visits.
  • Act as a manager on duty when required.
Desired Qualifications
  • College degree.
  • Certification in cardiopulmonary resuscitation.
  • Ability to suggestively sell.
  • Previous guest relations training.
  • Experience using Opera.
