Requirements
  • A college or university degree in a related field is required.
  • Five to seven years of work experience in a related job discipline is required.
Responsibilities
  • Plan, coordinate, and execute Advancement events in partnership with the Director of Events.
  • Independently manage event kickoff, working group, and debrief meetings.
  • Utilize event technologies such as Zoom, Vmix, and event registration systems.
  • Manage all components of the event registration platform to maintain data integrity.
  • Create post-event reports for partners and leadership.
  • Maintain event budgets, manage vendor contracts, and execute payments.
  • Collaborate with partners outside of Advancement and Booth, such as program offices, to support select events.
  • Participate in event strategy sessions with leadership, partners, working groups, and other Booth and University departments as needed or directed.
  • Work with the Director and events team to create new and improved in-person, hybrid, and virtual event programming aligned with Advancement and Booth leadership goals.
  • Keep up with market research and current event trends and procedures.
  • Develop and execute day-to-day event logistics and other complex assignments with minimal guidance.
  • Review and finalize guest lists, assist with mailing invitations, and create complex event brochures.
  • Perform other related work as needed.
Desired Qualifications
  • Background in event support, with increased levels of responsibility.
  • Background working for a university or non-profit.
  • High proficiency with Google Suite, Microsoft Word, Microsoft Excel, Access, and Microsoft Outlook.
  • Ability to learn and master event-related software and systems specific to the Booth Advancement office.
  • Familiarity with the Cvent event registration platform.
  • Understanding of managing virtual event technologies, such as Zoom and Vmix.
  • Ability to manage projects independently, manage up appropriately, identify opportunities for improvement, and recommend effective changes while achieving key objectives and desired outcomes.
  • Ability to exercise good judgment, handle multiple detailed tasks or projects simultaneously, and meet strict deadlines with frequent interruptions during seasonal high volume.
  • Professional demeanor, including tact, discretion, and a customer service-oriented approach.
  • Excellent problem-solving, organizational skills, and attention to detail.
  • Superior presentation, written, and verbal communication skills.
