Responsibilities
  • Oversee all aspects of event planning and logistics.
  • Serve as a collaborative thought leader in developing new and re-envisioned public programs aligned with organizational priorities.
  • Coordinate with internal teams to incorporate community input and partner participation into program planning and delivery.
  • Develop and manage detailed project plans, including timelines, budgets, resource allocation, and metrics for each event.
  • Lead the permit application process for all programs.
  • Schedule and contract external facilitators, vendors, and performers, ensuring contracts and vendor paperwork are completed and payments are processed.
  • Serve as the primary internal liaison for event load-in and load-out by fielding production questions, leading vendor walkthroughs, and coordinating among vendors, staff, the New York City Police Department, and Park Enforcement Patrol to troubleshoot problems.
  • Coordinate staff briefings on program details and delegate responsibilities to ensure timely completion of action items.
  • Develop and implement guidelines for crowd control and other safety precautions for programs and events.
  • Maintain the inventory and proper care of equipment, materials, and supplies.
  • Track program attendance, participant feedback, and engagement metrics to evaluate effectiveness and inform future program development.
  • Support administrative program tasks, including preparing written material for reports to senior staff and funders.
  • Collaborate with Marketing and Communications on promotional collateral and provide content for printed and digital materials.
  • Provide oversight of daily Davis Center operations and activities, including managing program support staff in executing year-round programs and events.
  • Provide customer service through on-site interactions and phone and email correspondence.
  • Ensure users follow facility safety rules and behavior guidelines.
  • Issue immediate and complete reports of liability issues.
Desired Qualifications
  • Five years of event planning and management experience in a public or nonprofit organization is preferred.
  • Experience in visitor experience management in high-visitation settings is desirable.
