Requirements
  • A high school diploma or equivalent is required.
  • At least two years of related experience in a property management or apartment leasing office is required.
  • Experience with site-based affordable housing programs, specifically Housing and Urban Development and Section 8, is strongly preferred.
  • Successful completion of a background check and drug screen is required.
  • A valid driver's license and clean driving record are required.
  • Excellent interpersonal and verbal communication skills are required.
  • The ability to work independently, take initiative, multitask, prioritize efficiently, determine the priority level of calls or issues, maintain accountability, adapt, stay organized, demonstrate attention to detail, and perform basic math is required.
Responsibilities
  • Foster positive, active, and collaborative relationships with residents, communities, and associated agencies.
  • Maintain a clean reception area and professional surroundings.
  • Assist management with administrative projects, phones, faxes, filing, typing, mailings, and rental payment processing.
  • Maintain accurate records of resident transactions and issue resident receipts as necessary.
  • Review or preview reports and confirm Tenant Rental Assistance Certification System transmission readiness when applicable.
  • Answer and direct incoming calls and ensure proper follow-up when the appropriate team member is unavailable.
  • Listen to and address resident concerns and requests in a timely manner, communicating responses regarding actions or inaction when requests cannot be fulfilled.
  • Greet, introduce, welcome, and convey the property's benefits to prospective residents and visitors.
  • Coordinate leasing by interviewing prospective residents, assessing their needs and qualifications, securing welcome cards or applications, and entering prospect information into the property data system.
  • Schedule application intakes, interviews, application processing, preparation, and distribution.
  • Accompany prospective residents to apartments and discuss unit size, layout, lease terms, facilities, and available services.
  • Qualify prospective residents according to property program requirements and the tenant selection plan.
  • Coordinate and maintain an applicant waiting list to maximize occupancy.
  • Calculate rent according to property program procedures or rent schedules when required.
  • Complete lease forms and documents and collect reservation deposits, security deposits, and initial or prorated rent when applicable.
  • Conduct marketing outreach with neighborhood groups, local employers, community organizations, and other prospecting and lead-generation sources to convert leads into rentals.
  • Conduct marketing surveys, review traffic reports, and share trends with the Property Manager.
  • Assist with and attend resident retention initiatives, including resident functions, promotions, and newsletters.
  • Assist with property-issued communications and notices.
  • Gather, prepare, and execute lease renewals and process interim recertifications, annual recertifications, and other documentation required by local, state, and federal agencies.
  • Secure required applicant and resident signatures for administrative processes.
  • Maintain accurate records of resident transactions and certifications and timely process interim certifications, move-ins, and move-outs.
  • Notify management of necessary legal action involving resident nonpayment or noncompliance.
  • Process work orders, certifications, deposits, and resident documentation in the property management software.
  • Maintain documentation and filing procedures in accordance with standard operating procedures.
  • Ensure apartments, models, and community amenities meet quality standards before showing them, and report maintenance or physical property needs to management or maintenance personnel.
  • Enter work orders and service requests into the property data system and communicate them to maintenance.
  • Assist in achieving property financial goals.
  • Maintain property rules and regulations in accordance with property programs, standard operating procedures, and applicable laws.
  • Preserve the confidentiality of residents, applicants, employees, and company information.
  • Perform other duties assigned by management.
Desired Qualifications
  • Certified Occupancy Specialist and/or Tax Credit Specialist certification is strongly preferred.
  • Experience with Yardi is strongly preferred.
