Requirements
  • A high school diploma or equivalent.
  • A minimum of two years of experience in an administrative support role.
  • Basic maintenance knowledge.
  • Strong Microsoft Excel and spreadsheet skills, including entering, organizing, sorting, filtering, and maintaining information accurately.
  • Basic computer knowledge and the ability to use Outlook, OneSite, Microsoft Word, Excel, and the internet.
  • Strong organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • The ability to follow up consistently on outstanding items and manage multiple tasks and deadlines.
  • The ability to learn new software and systems.
  • The ability to work independently while supporting a team.
  • The ability to work scheduled hours on any day of the week, including overtime when requested, and to serve on-call as scheduled or necessary.
  • The ability to physically access all exterior and interior parts of the property and amenities, and to push, pull, lift, carry, or maneuver up to 35 pounds independently and 75 pounds with assistance.
Responsibilities
  • Coordinate and track daily maintenance requests and work orders.
  • Maintain accurate and up-to-date maintenance records and documentation.
  • Use Excel spreadsheets to track work orders, assignments, completion dates, vendor information, inspections, supplies, and other maintenance-related information.
  • Create, update, and maintain spreadsheets and reports for management.
  • Monitor outstanding work orders and follow up with appropriate team members to ensure timely completion.
  • Assist with scheduling maintenance staff, vendors, inspections, and other maintenance-related activities.
  • Communicate with Community Managers and Maintenance Technicians regarding open work orders and outstanding maintenance needs.
  • Coordinate with vendors and assist with obtaining updates, scheduling, and documentation.
  • Maintain organized records of invoices, work orders, inspections, maintenance requests, and vendor documentation.
  • Assist with tracking maintenance supplies, equipment, and inventory.
  • Identify overdue, incomplete, or recurring maintenance issues and bring them to management's attention.
  • Assist with preparing reports and information requested by management.
  • Enter and update information accurately in company systems.
  • Communicate professionally with residents, employees, vendors, and leadership.
  • Perform administrative and coordination duties as assigned.
  • Attend owner gatherings and resident events when required, including events held after hours.
  • Maintain a commitment to ongoing personal development and career growth through career path activities.

  • Experience working with maintenance work orders or property management systems.
  • Experience in multifamily housing or property management.
  • Experience coordinating vendors or contractors.
  • Experience preparing reports and tracking information in Excel.
  • Experience working in a fast-paced environment with multiple properties, teams, or locations.
  • Previous administrative, maintenance coordination, property management, facilities, or related experience.
  • Property management or maintenance experience.
