Requirements
  • A minimum Associate Degree with two years of business or administrative training or experience is required.
  • Computer literacy and knowledge of Microsoft Word, Excel, PowerPoint, and Outlook are required.
  • Accurate typing skills of at least 40 words per minute are required.
  • A pleasant telephone manner and attention to detail are required.
  • The ability to work in a fast-paced environment while maintaining a positive demeanor is required.
  • Excellent organizational, time-management, and interpersonal skills are required.
  • Respect and consideration for the individuals being served are required.
  • Awareness of and sensitivity to the cultural and socioeconomic characteristics of the persons and populations served are required.
Responsibilities
  • Answer phones and take messages.
  • Type home studies.
  • Perform typing and clerical needs for the DDS Department.
  • Research necessary information needed for the programs.
  • Monitor office supplies and equipment and order supplies as needed.
  • Maintain accurate ledgers according to agency regulations on expenses and contributions for the programs.
  • Check all submitted documents and requests for accuracy and requirements before submitting them to the Social Services Administration for approval.
  • Communicate with program staff when inaccuracies are identified and monitor the resubmission of such requests.
  • Keep records of all documents processed through the DDS Department.
  • Prepare and submit financial and statistical reports as requested by the Director of DDS.
  • Submit program requests for approval to the Social Services Administration.
  • Attend meetings relevant to fiscal matters as assigned by the Director of DDS.
  • Perform clerical functions for multiple programs, including data entry, filing, and distributing mail.
  • Establish and maintain files and records according to agency and funding-source regulations, including staff timesheets.
  • Gather employee timesheets weekly, secure department-head approval, and remit them to payroll.
  • Attend meetings, seminars, and job fairs as assigned by the Director of DDS.
  • Sweep and mop to maintain a neat and organized environment in the DDS office.
  • Monitor and follow up on maintenance work orders related to the DDS office.
Desired Qualifications
  • Bilingual ability is preferred.
  • Experience working in customer service is preferred.
