The Senior Sample Associate manages all aspects of product journey between purchase order and delivery of samples and stock to warehouse in a dynamic, fast-paced studio environment requiring flexibility and efficiency in all aspects.
This is a 5 day a week onsite position in our Industry City office in Brooklyn, NY.
Primary Responsibilities, include:
- Actioning on new purchase orders each season - connecting with each brand to coordinate sample loans to be shot in studio for ecommerce and editorial, and updating the Presell Master Doc weekly.
- Coordinate all logistical aspects of sample loans - working regularly with internal shipping department as well as domestic and international couriers and messenger services to ensure seamless deliveries and returns of all product samples.
- Responsible for receipt, check-in, tagging, and management of all samples called into the studio.
- Create daily schedules and shot lists for studio photo teams, prioritizing quick turnaround times per brands’ needs.
- Provide detailed styling guides to studio stylists to ensure product shots accurately reflect items and adhere to brand personality.
- Communicate color correction and sample discrepancies to the retouching team to ensure accuracy of images.
- Tracking shots per day and maintaining daily/weekly/seasonal quotas for on-model, ghost form, and still-life product shots.
- Handling all Mirakl Marketplace vendor communication and the Master Doc updates.
- Coordinating sample/inventory requests for Editorial Shoots.
- Neatly packing and returning samples to brands in a timely manner as well as inventory back to the warehouse. Ensure inventory is received and returned in pristine, sellable condition.
- Liaising with Buying and Site Merchandising Teams to complete product shots in adherence to brand launch and stock delivery dates.
- Submitting vendor imagery in accordance with our standard guidelines.
- Managing special requests to designers communicating editorial messaging, timelines, and sample requests/logistics.
- Receiving, tagging, and managing Editorial samples prior to style-out.
- Prepare all merchandise prior to shoots. Including, but not limited to unpacking, taping of shoes, storing of packaging, and repacking.
- Maintain pristine organization and cleanliness of the fashion closet.

Qualifications/Ideal Experience:
- 3+ years of sample management and project coordination experience.
- Intermediate proficiency with Microsoft and Google applications required.
- A strong and thorough knowledge of the luxury market.
- Ability to work in a fast-paced, e-commerce setting.
- Creative problem solver, resourceful and process oriented.

Job Type: Full-time; Onsite role with five days a week in our Brooklyn NY (Industry City) office space
Salary: $49,000 - $66,000 annually + Discretionary Bonus & Equity Eligible
