Requirements
  • Consecutive employment in a position with comparable responsibilities within the past two years.
  • Ability to use a computer to communicate via email.
  • Proficiency in Microsoft Office products, including Word, Excel, PowerPoint, Publisher, and related tools and technology.
  • At least two years of required experience.
  • Demonstrated success managing medium- to large-scale face-to-face meetings, conferences, and other events.
  • Proven project management skills and ability to work with diverse, highly skilled personnel in a fast-paced team environment.
  • Experience leading or participating in a project of similar bandwidth.
  • Excellent oral and written communication skills in English.
  • Intermediate to advanced skills in Microsoft Office applications, primarily Word, Excel, and PowerPoint.
  • Ability to work on tight deadlines when required.
  • Eligibility for a U.S. Government Facility Access Authorization, also referred to as an Employment Authorization.
Responsibilities
  • Provide meeting and conference support for approximately 41 events per year throughout the five-year contract period.
  • Assist participants and sponsored participants with arriving at the event location, checking in, finding locations for lunch or breaks, and returning to the airport or hotel.
  • Provide on-site support throughout conferences lasting between one and three days.
  • Provide support required by the National Institutes of Health to promote the effectiveness of meetings and conferences.
  • Check in registrants and streamline the check-in process.
  • Answer general event and logistical questions about the event space, surrounding area, restroom locations, and other event matters.
  • Assist speakers and participants throughout each meeting or conference.
  • Ensure the overall fluidity of each event.
  • Assist with setup of the event space.
  • Distribute materials to as many as 500 participants.
  • Assist with take-down of the event space at the close of the event.
  • Remain on-site throughout the meeting or conference when required.
  • Assist fellow team members throughout each event.
  • Produce work products that are thorough, accurate, appropriately documented, and compliant with established criteria.
  • Perform duties competently and professionally while meeting milestones and delivery schedules.
Desired Qualifications
  • A bachelor's degree in event planning, event management, communication, or another related field.
  • Advanced proficiency with Excel, Access, Outlook, PowerPoint, and Word.
  • Proficiency with Adobe Acrobat, data analytics tools, and Visio.
  • Ability to quickly learn other business tools and technology as necessary.
