Requirements
  • A minimum of two years of experience working in an administrative role is preferred.

Responsibilities
  • Provide program information to consumers and partners by telephone, walk-ins, and email, including through the Homeownership general email boxes.
  • Refer callers to MaineHousing’s public website and email or mail consumer information packages.
  • Process incoming and outgoing mail for the Homeownership Department.
  • Prepare invoices, check requests, and purchase orders.
  • Check in original Notes and secure them in the vault.
  • Conduct monthly inventory of original Notes.
  • Mail original Notes to the Sub-Servicer.
  • Monitor the loan pipeline.
  • Monitor eDoc notifications and process reservation revision and extension requests.
  • Run the e-Mortgage Docs Audit/Event log daily to ensure document submission.
  • Refer pre-closing review documentation to the assigned Homeownership lender contact.
  • Check in delivered loan files and generate the Loan Schedule and Reviewer Checklist.
  • Perform data entry and quality control for loans approved for purchase.
  • Assemble loan files and transit them to the Sub-Servicer.
  • Process the bi-monthly loan file transfer for mortgage purchases and complete post-transfer tasks.
  • Monitor eDocs post-purchase reports and identify and save final documents to appropriate folders.
  • Search online for collateral documents and save them to the appropriate folders.
  • Attend monthly staff meetings and take meeting minutes.
  • Conduct a weekly rate survey and distribute the results.
  • Represent MaineHousing at outreach events and trade shows.
  • Perform other duties as assigned.

MaineHousing finances and supports affordable housing in Maine by raising private capital through tax-exempt mortgage revenue bonds. Proceeds fund home loans, down payment and closing-cost assistance, rental subsidies (Section 8), and the development and rehabilitation of affordable rental housing, along with LIHTC and rural housing programs. It is self-funded and does not use state general funds; mortgage income repays investors and covers operating costs. Its goal is to increase safe, affordable housing for Maine residents and support the state’s housing market, aiding over 90,000 households annually.
