About the Job

Requirements

  • Currently be enrolled in a graduate program at UT Austin or be eligible for graduate student employment.
  • Have strong working knowledge of Smartsheet forms, automation rules, formulas including NETWORKDAYS and IF, cross-sheet references, reports, and dashboards with metric widgets.
  • Have hands-on experience building Power Automate cloud flows with triggers on shared mailboxes, SharePoint, and Forms; approvals; error handling; and connections to Smartsheet through its connector, HTTP, or API calls.
  • Have working knowledge of Outlook shared mailboxes, Teams, Forms, and OneDrive within Microsoft 365.
  • Have experience with SharePoint sites, document libraries, metadata and content types, views, permissions, and lists.
  • Be able to write Python scripts for data cleanup, file inventory, and API-based automation, such as the Smartsheet API or Microsoft Graph.
  • Be comfortable defining metrics, designing clean data structures, and presenting results visually.
  • Be able to turn business needs into technical solutions and explain them clearly to non-technical staff, in writing and in person.
  • Write clear, usable documentation while building solutions.

Responsibilities

  • Update six existing Smartsheet intake forms and sheets by adding a Status column and Date Submitted, Date Assigned, and Date Completed fields.
  • Add Smartsheet automation rules to timestamp assignment and completion dates when Status changes, and create a processing-time formula using NETWORKDAYS.
  • Build a cross-sheet report grouped by form type and status, then publish a live dashboard with a metric widget for each form type.
  • Track weekly counts of submissions and completions, average processing time, and open and aging requests.
  • Design and launch a Smartsheet form for AVP reimbursement or exception-approval requests, using the same Status and date fields so requests feed the dashboard.
  • Build a Power Automate flow triggered by new mail in the Commercial Card shared mailbox to log the sender, subject, and received timestamp to a Smartsheet tracking sheet.
  • Support Microsoft 365 intake workflow design and development using Power Automate, including approvals, notifications, and error handling.
  • Reorganize Procurement's SharePoint environment, including site and library structure, metadata, naming conventions, permissions, and navigation.
  • Inventory Box content, map it to the new SharePoint structure, migrate it, validate the result, and support staff through the change.

Desired Qualifications

  • Have experience with cloud-to-cloud content migration, such as Box to SharePoint, using the SharePoint Migration Tool, Migration Manager, or scripts.
  • Be familiar with Microsoft Graph API, Power Apps, or Power BI.
  • Understand information governance, records retention, and permission models.
  • Have experience with requirements gathering, process mapping, or business analysis.
  • Have experience training or supporting non-technical users through a system change.
  • Have an interest in procurement, finance, or public-sector operations.
  • Have graduate study in information systems, data science, computer science, information studies, or a related field.
