Requirements
  • A high school diploma or General Educational Development certificate is required.
  • At least two years of related medical office experience is required.
  • Prior referral and authorization experience is required.
  • Demonstrated punctuality, reliability, and professionalism are required.
  • Demonstrated exceptional follow-through and task completion is required.
  • A history of exceptional customer service skills is required.
  • The ability to multitask effectively is required.
  • Strong attention to detail is required.
  • Understanding and use of medical terminology are required.
  • Knowledge of Current Procedural Terminology and International Classification of Diseases, Tenth Revision codes is required; knowledge related to general surgery is a plus.
  • Effective and tactful communication skills are required.
  • Experience with and proficiency in electronic medical record systems are required.
  • The ability to read, write, perform arithmetic, and apply reasoning skills at least equivalent to those of the average high school graduate is required.
  • Proficient computer skills and accurate data entry are required.
  • The ability to work unsupervised is required.
  • Measles, mumps, varicella, and annual influenza immunizations are conditions of employment.
Responsibilities
  • Make appointments for new and returning patients.
  • Schedule surgeries, procedures, and colonoscopies.
  • Maintain physician schedules to assure efficient workflow.
  • Interface with the Practice Leader regarding scheduling issues.
  • Provide administrative assistance to physicians.
  • Obtain necessary authorizations for surgeries, procedures, and colonoscopies, if applicable.
  • Submit clinical information to outside sources at the doctor's request, including medical records for consult referrals and surgery details.
  • Answer incoming telephone calls and provide customer service.
  • Provide new patients with patient packets for registration and preparation information for surgeries, procedures, and colonoscopies.
  • Greet patients as they enter and leave the clinic in a welcoming, professional manner.
  • Send letters to patients regarding surgery information.
  • Maintain order in the waiting room throughout the day.
  • Keep the work area effectively ordered and free from hazards.
  • Maintain exam rooms as needed.
  • Report facility problems immediately.
  • Remain professional, calm, and effective in emergent or high-pressure situations.
  • Perform all other duties as required or assigned.
  • Lead projects focused on establishing standardized scheduling practices organization-wide.
  • Work in multiple locations as required.
Desired Qualifications
  • Prior surgery scheduling experience is preferred.
  • Knowledge of Current Procedural Terminology and International Classification of Diseases, Tenth Revision codes related to general surgery is a plus.
  • Experience with the Allscripts electronic medical record system is a plus.
