Responsibilities
  • Assist in preparing contractual provisions and administering contract proposals.
  • Assist senior contract specialists in preparing bids and negotiating specifications with suppliers, partners, or customers.
  • Participate in developing and fulfilling contract requirements for the purchase or sale and delivery of equipment, materials, products, or services.
  • Evaluate contract compliance and advise others on contractual rights and obligations.
  • Request or approve amendments to contract terms and contract extensions.
  • Review new and continuing contracts and service agreements for compliance with legal guidelines, contracting principles, and cost constraints.
  • Research federal, state, and local laws and requirements and their effects on bids, agreements, and contracts.
  • Track agreements through the request-to-signature lifecycle and provide status reporting to the Director of Contract Administration.
  • Coordinate and execute agreements for the Contract Administration team.
  • Conduct preliminary reviews, summarize submissions, and disseminate contract requests and information to the Contract Administration team.
  • Prepare summaries of agreements and salient terms before routing contracts for signature.
  • Research transactional history to respond to internal client inquiries and achieve current goals.
  • Assist with drafting contract documents and executive summaries.
  • Support the assignment of contracts to Contract Administration staff in consultation with executive and department directors.
  • Provide timely and accurate customer service to internal clients and external parties.
  • Help create procedures that improve efficiency and participate in process improvement projects.
  • Create, organize, and manage electronic files, spreadsheets, and contract databases.
  • Maintain data integrity in the University's contract management system and file correspondence and documents into contract files.
  • Ensure contracts are signed by appropriate parties.
  • Prepare reports and documentation for departmental meetings.
  • Schedule and attend meetings as needed.
  • Handle administrative tasks and internal and external correspondence.
  • Maintain strict confidentiality of the University's contracting activities.
  • Adhere to University and departmental policies and procedures and safeguard University assets and interests.
Desired Qualifications
  • Two years of relevant experience is preferred.
  • Previous experience in a similar position is preferred.
  • Familiarity with artificial intelligence tools relevant to contract administration is preferred.
