Requirements
  • The candidate should be highly organized and able to manage multiple concurrent tasks without dropping them.
  • The candidate should be willing to take on unfamiliar work, attempt solutions, seek review from colleagues, and improve processes over time.
  • The candidate should have experience in a comparable role such as executive assistant, team assistant, operations coordinator, office manager, or practice manager.
  • The candidate should write clearly and quickly for candidates, customers' information technology teams, and lawyers.
  • The candidate must exercise discretion when handling salary data, contracts, and personal information.
  • The candidate should have practical experience using artificial intelligence tools such as Claude for drafting, summarizing, questionnaire first passes, or small workflows.
Responsibilities
  • Own recruitment operations end to end, including maintaining recruitment tools, booking interviews, coordinating schedules, conducting first-pass curriculum vitae screening, and working with team leads to define candidate tasks.
  • Manage contracting and invoicing by sending, chasing, signing, and filing contracts and raising and tracking invoices through payment.
  • Own the schedule, evidence, and paperwork required for ongoing ISO 27001 certification reviews.
  • Answer customer security questionnaires with support from the team and internal tooling, and build a reusable answer bank.
  • Build templates, automations, and artificial intelligence workflows to automate repetitive operational tasks.
  • Expand ownership across operations functions as the company grows.
Desired Qualifications
  • Exposure to ISO 27001, SOC 2, or Cyber Essentials.
  • Experience with recruitment.
  • Experience with contracts, procurement, or finance administration.
  • Background in charities, funders, or local government.
  • Experience with Claude Code or automation tools.
