Responsibilities
  • Provide support to medical care providers in an outpatient or clinic setting by rooming patients, setting up equipment and instruments, assisting with examinations and procedures, cleaning and stocking examination rooms, and documenting information in electronic patient charts.
  • Record systemic histories, obtain pertinent vital signs, perform appropriate diagnostics, and prepare for or assist with minor procedures.
  • Perform screening tests, including vision tests, electrocardiogram tests, pulmonary function tests, and other tests within the scope of practice as ordered.
  • Perform laboratory duties such as drawing blood, obtaining blood specimens, conducting urinalysis, and obtaining urine and throat cultures as needed and ordered.
  • Administer immunizations, injections, and medications within the scope of practice and according to provider orders, while following medication handling and storage procedures.
  • Assist physicians during minor procedures by setting up instruments and medications, responding to physician needs during procedures, and preparing instruments for reprocessing.
  • Process medication refill requests, contact pharmacies, and determine when physician review is needed.
  • Use newer technologies after receiving training.
  • Educate patients on how to take their medications.
  • Manage daily schedules to ensure patients are seen at appropriate intervals.
  • Maintain examination-room equipment and supplies, including dating topical medications and removing expired materials.
  • Clean and disinfect instruments and equipment routinely, and ensure instruments and devices are functional and sterilized when necessary.
  • Prepare supplies for diagnostic testing, examinations, and procedures, and provide basic maintenance for clinic equipment.
  • Keep rooms stocked with medications and supplies and place orders as necessary.
  • Consult physicians about test results and alert them to positive results or abnormalities.
  • Report patient concerns, symptoms, reactions, and changes to licensed clinic personnel.
  • Act as a liaison between medical staff and patients to answer questions, coordinate patient care, and provide patient education.
  • Monitor and track work requests.
  • Perform work safely in compliance with organizational safety policies and applicable regulations, while maintaining a neat workstation and environment.
  • Maintain confidentiality of patient, physician, employee, University, and organizational records and information.
  • Obtain, document, and update necessary patient information in appropriate systems.
  • Provide technical support services where needed.
  • Triage patient issues and resolve problems involving billing, patient-test coordination, appointments, and medical records.
  • Respond to patient messages and voicemails on the same day.
  • Respond to requests from doctors and technical staff, make requested phone calls, and obtain records.
  • Follow policy for cancellations and no-shows.
  • Maintain clinic and patient flow by balancing registration requirements, appointment times, and non-appointment activities.
  • Serve as a liaison between outpatient clinics and programs on administrative matters and provide a supportive interface between patients, providers, and staff.
  • Assist providers with schedule changes.
  • Review active worklists and address patient account needs.
  • Keep clinic and patient reception areas organized and neat.
  • Maintain adequate front-office and back-office supplies.
  • Abstract, scan, and catalog paper records into electronic records.
  • Support and participate in department huddles and team meetings.
  • Greet patients and perform check-in and check-out processes.
  • Interface with electronic medical record and scheduling systems.
  • Verify and update demographic and insurance information.
  • Confirm or obtain primary-care-provider and referring-provider information.
  • Scan insurance cards, identification cards, and other pertinent insurance materials.
  • Explain consent, Health Insurance Portability and Accountability Act, and noncovered-services forms and obtain patient signatures.
  • Ensure patients complete questionnaires as needed.
  • Ensure managed-care patients have accurate preauthorization when needed.
  • Collect and document copayments, deductibles, and patient service fees by check, cash, or credit card.
  • Arrive patients using the proper registration systems.
  • Inform patients of appointment delays.
  • Collate charts appropriately and perform patient encounters in computer systems.
  • Schedule future appointments, procedures, ancillary testing, and recalls as indicated by providers.
  • Provide disposable dark glasses for dilated patients.
  • Arrange patient transportation calls upon appropriate patient request.
  • Obtain, document, and update patient information while interacting with insurance companies and other payors or institutions.
  • Verify coverage with insurance or health-plan carriers.
  • Coordinate registration, referral, and scheduling activities.
  • Enter validated patient registration information into organizational information systems.
  • Review scheduling templates and schedule future appointments.
  • Answer telephone lines and make necessary patient accommodations.
  • Provide callers with information about the department and its patient-care services.
  • Enter patient recalls in practice-management systems.
  • Schedule appointments with conveniently located clinical faculty for patients seeking care in other geographic areas.
  • Obtain preauthorizations and other documentation, including pertinent notes from previously seen providers, when making appointments.
  • Provide emergency-service locations and office hours to patients who report an emergency.
  • Perform other assigned duties or projects.
