People & Culture Administrator

Job Description

Reporting to the Senior HR Manager, you will provide HR administration and office management support, primarily across Malaysia and Taiwan, with backup support for other regional offices when required. You will help ensure smooth employee lifecycle processes, accurate HR records, and a positive employee experience. Some of the other responsibilities include: 

• HR Administration & Employee Support: Handle HR queries, prepare employment letters, and maintain employee documentation and audit records in line with local requirements. 

• Employee Relations: Take ownership of case documentation, meeting coordination, note-taking, and related follow-ups under HR guidance. 

• Employee Lifecycle Management: Coordinate offers, onboarding, probation reviews, employee changes, and offboarding. 

• HR Systems & Records: Maintain accurate employee records, personnel files, and organisational charts in BambooHR and Metronome. 

• Office Management: Oversee office facilities, cleaners, building management, supplies, stationery, and pantry stock across Malaysia and Taiwan. 

• Employee Engagement & Events: Coordinate employee events, celebrations, meals, and engagement activities, including logistics and vendor arrangements. 

• Expatriate Visa Administration: Coordinate visa applications and renewals, ensuring documentation and submissions meet required timelines. 

• Expense Administration: Update and reconcile monthly PBB expense files and submit them to Finance on time. 

Qualifications

• Education: Diploma or degree in Human Resources, Business Administration, or a related field. 

• Experience: 3–5 years in HR administration, HR operations, or a generalist HR role. 

• Expatriate Management: Hands-on experience managing EP applications and renewals, FKW matters, and liaising with MDEC and Immigration is essential. 

• Systems Knowledge: Familiarity with HRIS platforms and spreadsheets; Rippling experience is an advantage. 

• Core Skills: Strong organisational skills, attention to detail, and the ability to manage competing priorities.

Compensation: 48000 to 51000 (MYR) (YEARLY)
