Responsibilities
  • Coordinate and facilitate in-person or virtual meetings and special events.
  • Participate in planning and implementing forums, workshops, seminars, roundtables, data exchanges, symposiums, and conferences as directed.
  • Coordinate all aspects of events according to customer specifications, including assisting with selecting and negotiating event locations and sites.
  • Coordinate with and schedule event participants.
  • Work with the team to promote speaking and attendance opportunities and arrange schedules to provide key participants access and contribution to the event.
  • Develop event information papers, handouts, materials, advertisements, and after-event summaries, including agendas, participant materials, timelines, handouts, biographies, and related documentation.
  • Identify key speakers and panelists for events in conjunction with Department of Defense oversight and input.
  • Draft, coordinate, and send invitations in hard-copy or digital formats.
  • Track RSVPs and advocate for alternate invitees when alternate choices are required or desired.
  • Write after-event reports to summarize proceedings, assess outcomes, and share knowledge.
  • Manage logistical arrangements for conferences, including reimbursement forms, invoices, and post-event reports.
