Requirements
  • Type at least 50 words per minute.
  • Have basic knowledge of medical terminology.

  • Have a High School diploma or General Equivalency Diploma.
  • Be able to sit and stand for prolonged periods, with possible bending, stooping, and lifting up to 15 pounds.
  • Be able to read, write, and speak English effectively.
  • Be a United States citizen or hold a Permanent Resident Card.
  • Pass or possess a VA Public Trust Clearance.
  • Submit a resume.
Responsibilities
  • Perform and coordinate appointment scheduling in accordance with VHA Directive 1230 and VHA Directive 1232.
  • Represent the Department of Veterans Affairs in a positive and proactive manner.
  • Work with the Lead Scheduler to complete patient communications on time and appropriately.
  • Coordinate and authorize Veteran care with community providers when the VA does not provide care or cannot provide it timely.
  • Communicate rules and regulations for VA Community Care to internal medical providers and advise them on appropriate processes.
  • Notify the contracting supervisor when automated systems are not performing as needed.
  • Validate and update patient demographic information.
  • Process health and administrative information for integration into the Computerized Patient Record System and Veterans Health Information Systems and Technology Architecture.
  • Process community care consults through HealthShare Referral Manager, Provider Profile Management System, and other required systems.
  • Screen phone calls courteously and promptly.
  • Respond to telephone inquiries about service delivery.
  • Use Microsoft Office products, including Excel, Word, Outlook, and Microsoft Teams.
  • Perform appointment scheduling, tracking, and required pre- and post-appointment contacts.
  • Provide customer service to patients, patient families, VA staff, contractors, physicians, fellows, and residents.
  • Answer calls within five rings, follow telephone etiquette, confirm caller understanding, collect adequate information, and transfer calls appropriately.
  • Use and check in patients through VetLink.
  • Listen to feedback and resolve patient or coworker concerns professionally when possible.
  • Participate in team huddles and understand team members’ roles and responsibilities.
  • Manage assigned work, report progress and impediments, collaborate, and maintain efficient workflow.
  • Receive, review, prepare, and oversee incoming and outgoing correspondence, ensuring correct punctuation, spelling, grammar, formatting, and styles.
  • Update patient demographics, including phone number, address, next of kin, emergency contact, and insurance information.
  • Use a personal computer and systems including Outlook, Teams, VistA, CPRS, Lync, VetLink, and Consult Tracking Management.
  • Retrieve and respond to voicemail within 48 business hours.
  • Open and close clinics daily.
  • Update no-shows within 24 hours of the appointment.
  • Monitor incoming and outgoing faxes and mail in accordance with HIPAA standards.
  • Provide support to the patient-aligned care team.
  • Oversee the VA Point of Service VetLink and report malfunctions to the Lead Medical Support Assistant or supervisor.
  • Review reports, collaborate with team members regarding patient appointments, and communicate scheduling issues to the supervisor.
  • Follow scheduling practices and schedule Veterans within VA guidelines.
  • Assess compliance with The Joint Commission and other regulatory criteria and ensure requirements are in place for internal and external reviews.
  • Participate in the facility’s Compliance and Business Integrity Program and maintain ethical standards.
  • Follow safety, fire protection, emergency code awareness, and Safety Data Sheet policies and procedures.
  • Identify patients using two appropriate patient identifiers per policy.
  • Maintain computer and information technology security and use access codes only for official duties.
  • Protect electronic and printed files containing sensitive information.
  • Protect information from unauthorized release, loss, alteration, or deletion in accordance with applicable regulations and computer access agreements.
  • Complete mandatory training and organizational compliance education required by the VA, client, Joint Commission Healthcare Staffing Services, or other regulatory bodies.
  • Meet all performance standards within VA guidelines.
  • Maintain privacy and confidentiality and prevent privacy breaches.
