Administrative Assistant
About the job
- A high school diploma or equivalent is required.
- A minimum of one year of experience in an administrative setting is required.
- Working knowledge of email, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and the Windows operating system is required.
- Perform general clerical duties including photocopying, faxing, mailing, filing, and arranging deliveries.
- Handle sensitive information according to HIPAA and agency guidelines.
- Reconcile petty cash.
- Order office and tenant supplies through the S:US Bell purchasing system.
- Handle internal and external communications by phone, email, and written correspondence.
- Operate a multiple-line phone system.
- Coordinate with staff, clients, visitors, vendors, and other internal and external stakeholders.
- Arrange, schedule, and coordinate the office calendar.
- Prepare and edit communications, presentations, and other documents.
- Manage databases, including data entry into Excel and electronic health record systems.
- File and retrieve documents and reference materials.
- Provide timely, accurate, and clear documentation according to established policies and procedures.
- Respond effectively to challenges, deadlines, and emergencies.
- Respond promptly, accurately, courteously, and respectfully to consumer needs.
- Represent the organization appropriately to outside resources.
- Support the organization’s mission and values and address behavior that undermines group effectiveness or conflicts with core values.
- An Associate’s degree is preferred but not required.
- Bilingual English/Spanish speaking ability is preferred.
