Responsibilities
  • Assist with preparing charts and updating forms for new resident admissions and discharges.
  • Support nursing staff by addressing residents' non-clinical issues.
  • Assist with coordinating transportation to medical appointments.
  • Maintain Assisted Living Residence master files and forms.
  • Create flyers for residents and families.
  • Prepare and send email blasts to families.
  • Order medical supplies.
  • Prepare, organize, update, and maintain documents, forms, logs, newsletters, policies, databases, medical records, minutes, clinical information, and files.
  • File paper and electronic information accurately in an organized and easily retrievable system, including reviewing files or paperwork for completeness such as signatures and dates.
  • Coordinate meetings and appointments by scheduling attendees, preparing agendas, confirming attendance, reserving meeting rooms, and arranging catering or refreshments as directed.
  • Attend meetings and take minutes as directed.
  • Arrange meetings or appointments for patients and families and transportation for outside appointments when needed.
  • Copy, sort, and route documents such as mail, publications, and packing slips, and deliver them promptly.
  • Send, receive, and distribute fax correspondence.
  • Answer phones, handle calls appropriately, take accurate messages, route calls and messages, and return phone calls promptly.
  • Maintain internal phone directories and staff rosters.
  • Facilitate communication within the unit, department, or function verbally or in writing as directed.
  • Maintain bulletin boards or other communication vehicles.
  • Design, write, prepare, and distribute announcements for departmental activities.
  • Route requests or prepare requisitions for service departments such as housekeeping, finance, and purchasing.
  • Coordinate the ordering of supplies and special printing jobs, and ensure supplies and forms are stocked for departmental use.
  • Greet visitors, notify Loretto staff members of visitor arrivals, and escort or direct visitors to the proper location.
  • Explain facility rules such as visiting hours and guide resources to meet resident and family-member needs.
  • Assist with routine projects and activities for the unit, department, or function.
  • Cover other units, departments, or functions when directed.
  • Keep office equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies, and calling for repairs.
  • Maintain the workstation and surrounding area in a neat and organized manner.
  • Assist with evacuating residents and participants during emergencies when needed.
  • Answer the resident call system when needed.
