Requirements
  • At least three years of experience in a customer service environment.
  • At least two years of experience in business process management, clerical work, and/or administration.
  • Strong service orientation demonstrated through an enthusiastic, cooperative, and supportive disposition.
  • Exceptional interpersonal, written, and verbal communication skills, including proper phone and email etiquette.
  • Excellent listening skills and attention to detail.
  • Prompt problem analysis and problem-solving skills with sound judgment.
  • Proficient computer systems and data-entry skills using Word, Excel, OneNote, and Teams, along with basic typing skills.
  • Strong organizational skills and the ability to handle multiple projects or tasks simultaneously.
  • Ability to work independently with some supervision and as part of a team of Business Process Specialists.
  • Ability to serve members and association staff as external and internal customers.
  • Effective problem-solving and analytical capabilities.
  • Ability to maintain confidential information.
  • Demonstrated ability to manage time and handle stress.
  • Ability to work Monday through Friday from 10:00 AM to 7:00 PM with a one-hour lunch break.
  • Ability to remain stationary for 75% of the workday, frequently move throughout facilities, move objects and equipment weighing up to 20 pounds, and continuously operate a computer and office productivity equipment.
  • Ability to complete required abuse risk management training and follow related procedures and mandated reporting requirements.
Responsibilities
  • Manage large amounts of inbound calls in a timely manner.
  • Answer member and program participant inquiries through a shared email inbox in a timely manner.
  • Provide customer service to members, guests, and program participants by phone and shared email, contributing to member retention.
  • Maintain association-wide knowledge of YMCA of Greenville branch operations to answer member and guest questions.
  • Answer prospective-member inquiries, promote memberships and programs, and provide facility and program information.
  • Handle and resolve membership concerns and inform a supervisor about unusual or unresolved situations.
  • Process new memberships, program participant registrations, and special requests.
  • Research, identify, and resolve membership concerns and questions using the Daxko software system.
  • Route calls to appropriate resources and follow up on member calls when necessary.
  • Maintain positive relations with members, participants, and coworkers.
  • Apply YMCA policies related to member services.
  • Support best-practice business processes across multiple association functions, including payroll, Camp Greenville registration, administrative and finance duties, revenue reconciliation, cash securing and depositing, data tracking and analysis, reporting, and lost-revenue recovery.
  • Enter and maintain system data related to member activity, including new joins, credits and fee adjustments, cancellations, annual payments, and Annual Campaign and Capital pledges.
  • Support program setup, registration maintenance, and confirmation emails.
  • Support membership and program billing, including collecting and updating billing information and verifying draft information before each draft.
  • Communicate with members, program participants, and donors and manage appropriate correspondence, including emails, letters, and thank-you notes.
  • Ensure financial practices comply with internal controls and procedures.
  • Adhere to consumer-boundary policies and procedures related to high-risk activities and supervision.
  • Attend and complete required abuse risk management training and follow mandated reporting requirements.
